Assorted Documents Question

I recently found the following documents from several years ago. Should I keep them, throw them away or send them to the Church Historical Department?

- Semiannual Stake Conference Report
- Officers Sustained - Stake
- Officers Sustained - Ward (I know this document should be included in a ward's annual history that's sent to the Church Historical Department, but these particular copies of this form were used by the stake presidency during those ward's respective ward conference and subsequently kept by the stake)

- Semiannual Stake Conference Report

The Church should already have these. The stake presidency may want to keep several years of reports in a file to review for attendance trends and, if they have the narrative part filled out, they probably would wish to keep them long enough to determine what progress has taken place and to follow up on any other comments or goals that resulted from the conference.

- Officers Sustained - Stake

This is a part of the stake history. Once they are in the history, including the copy of the history kept by the stake, there probably is no need to keep the document separately.

- Officers Sustained - Ward

This is part of the ward history, but remember that the ward sent their history to the stake to be part of the stake history that was sent to Headquarters. I would keep these long enough to make sure that they were included in the stake history and, after that, there probably is no need to keep them. Another reason to keep them for a time is that not all wards are able to produce them for their history submissions, especially if the ward conference was held early in the year.

Leaders have a tendency to ask questions that can't be answered from LCR. LCR tends to hold only current data and a limited amount of historical data. You may want to keep any forms that would allow you to answer historical questions that can't be determined from LCR or other systems you have access to.
