Normally, when an administrative computer is five years old, the FM Group replaces it. However, in the 4th year, the stake Physical Facilities Representative (PFR), who is a high councilor, is supposed to coordinate with the FM Group to make sure they include budget to cover the expense. Some FM Groups are pretty good about tracking the age of computers and will remember to budget for replacements, but it is still good to make sure it happens.

Either way, the stake PFR should contact the FM Group if your computers are five years old.

Details in the Help Center. Computer Replacement Cycle

As a practical matter, it may be easier for the STS to talk to the FM group. If you're not sure what the situation is, I'd suggest doing an inventory. Many machines have a manufactured date on their information sticker. I've had clerks bug about their "ancient" computer that was only 3 years old. They quiet down when I tell them the policy and how old it really is. <grin>
