Version 2.0 of the calendar was released today. This version contains a number of new features that will be helpful to calendar editors and administrators. A few of these new features include the following:

  • More intuitive interface for scheduling events and making reservations
  • New administrative interface that provides better navigation through tabs
  • More stability and better application performance

If you haven’t already transitioned to the new calendar, now is the perfect time since most wards and stakes are entering the 2012 planning period. With the inclusion of locations, privacy controls, and callings-based rights, the calendar is designed to meet the needs of wards and stakes. Calendar Interface

You can print off quick reference guides for each role. These one-page guides are perfect for handing out in meetings to help members and leaders get started.

    The following are the details of what’s new with the calendar. These release notes are divided into four sections: interface changes, functionality changes, terminology changes, and role changes.

    NOTE: One of the notable updates is the inclusion of time zones with locations. Because of this update, all locations have been deactivated. Stake administrators need to reactivate the locations before calendar editors can schedule locations with their events again.

    Interface Changes

    • The calendar sidebar is now on the left rather than the right.
    • Recurring events have an icon to indicate that they repeat.
    • The administrative screens have been redesigned. You can now navigate from one screen to another through tabs across the top.
    • Locations have a color icon next to them that matches events with that location reserved on the calendar.
    • You can see the building scheduler information by clicking the down arrow next to location names.
    • You can more easily browse location, room, and equipment reservations on the calendar so that you can check their availability.

    Functionality Changes

    • Locations now include settings for time zones.
    • You can select all or hide all subscribed calendars with one click.
    • Recurring events have more options to accommodate repeating patterns.
    • You can schedule locations and rooms for private calendars.
    • You can include padding time for set up and clean up around event times.
    • You can add members by role when adding calendar editors or administrators.
    • You can unsubscribe from calendars by clicking the down arrow next to the calendar name and selecting Unsubscribe.
    • You can more conveniently change calendar colors by clicking the down arrow next to the calendar.
    • Private calendars can schedule locations for their events.

    Terminology Changes

    • The term “approver” has changed to “administrator.”
    • The term “resource” has changed to “rooms and equipment.”

    Role Changes

    • Building schedulers, as authorized by administrators, can reserve locations, rooms, and equipment for wards. However, administrators themselves cannot make these reservations (unless they add themselves as building schedulers).
    • Reservations for wards and stakes (even blocked times) appear in the list of Available Locations, visible to every role.
    • Everyone can see the Available Locations.
    • Private event time blocks are visible, but the event says only “private event” and does not disclose the details of the event.

    The calendar team continues to work on improvements for the calendar. There are a few limitations that are worth noting:

    • E-mail notifications have been temporarily removed until they can be further tested.
    • Church-wide events are not yet integrated into the calendar.
    • The list of subscribed calendars is not in alphabetical order.
    • You can only filter by location in the week view.

    It appears that the timezone for the calendar is set to GMT. This causes the events to show up 6 hours earlier than they should on my Google Calendar since I am in the Central timezone (GMT-6:00).

    The sync to Google Calendar doesn't work either. It:

    - It uses the wrong timezone (I read about that, but not about it having anything to do with the syncing calendar links). I'm in GMT+2 btw. Sweden.

    - It also doesn't update. i changed a thing in the lds calendar and it didn't sync to my google calendar.

    But it's looking better and feels a lot better. so keep working and tell me if there's something I can help with. :)

    Robert, thanks for the note and details. If you don't mind, can you also report the bugs and issues in the calendar sub-forum (see link above), since the quality assurance team regularly monitors that forum and not so much this thread?

    By the way, we've had trouble getting the Google sync to work in the past, and engineers tracked the problem to Google, so it's great to hear that the sync is at least partly working now. Hopefully we can get the rest of the issues worked out (the time zone bug has already been fixed in dev).

    Is it possible for two wards meeting in the same building but belonging to different stakes to share the building/resource schedule, or would you recommend a Google Calendar for now?

    As I understand it, yes, as long as the buildings are in the facilities management database (FMAT), they should appear for both stakes. Resources (e.g., canoes or something) that aren't in the database cannot be shared. But really the place to ask questions is the LDSTech Forum. You'll find more experts there who are more knowledgeable.

    Is there anything special we need to do to see all the locations again when creating a new event? I have admin and Building Coordinator (ward) rights, but can only see the locations in the Reservation section, not the regular calendar section.
    Do the Stake Admins need to update/give us access to the Locations again (like happened in the original release)? When creating a new Event, all that is available in the Location part is the Other Location.

    Dean, for support questions, please post them in the LDSTech Forum. You can access the forum by clicking the Forum link in the navigation bar.

    As for answering your question, the calendar does not let you do this, since stake and ward calendar rights are independent. You need to just send the dates to each ward calendar administrator and ask him or her to create the welfare calendars on their own ward calendars.

    I realize this isn't ideal, and it's a common question we receive. We'll address this scenario in a future release.

    To solve this issue in our Stake we created several Stake - Unit (Ward/Branch) calendars for each unit. Once the Stake - (Unit Initials) calendar was created we simply added the information (details/location/time/etc) applicable to that unit. Then the individual calendar users had the option to active their respective Stake - Unit calendar and it would show all events they needed to see. It works well for us to push the informaton out directly.

    Clinton, your request for directory setup guides is the first I've heard. I assumed the directory was mostly intuitive, but maybe I should put together a quick reference guide for it? What would be helpful to know about it?

    I guess having an overview of viewing the person's own profile, searching members in the stake, and printing a directory would help with very common tasks. My stake has an older population, so any notes are very desired. Thanks for the extra help; it's greatly appreciated.

    Is it possible to print each entire auxiliary directory in its entirety? I clicked on each one and the same one page PDF comes up with all auxiliaries presidencies only. Thank you.

    Apparently the update deleted details from events in our calendars! Besides removing the 'building resource' reservations, it also took off descriptions of individual entries of recurring events. I guess we will have to re-enter all the information?

    All of that information is still there for the events I have seen on my calendar, I just had to view the event details.

    We haven't received any bugs about events being deleted (except birthday events and holidays, I think). As Jon points out, perhaps some of the information is in the event details? Either way, your better bet for help would be to post this issue in the LDSTech Forum.

    Will there be a General Calendar made available to the stakes that will contain General information (General Conference, General Relief Society Meeting, First Presidency Christmas Devotional, etc.), or should we add those dates to a stake calendar we create? In the classic calendar, there were Church-wide events that automatically populated our calendars. Thank you!     Richard, eventually there will be a general Churchwide calendar added, but not for a while. For now, you just have to create these calendars in a manual way. You can probably get a lot of Churchwide event info on by going to Menu > The Church > News & Events.

    I am beyond disgusted and frustrated with this new building scheduler calendar. I read the info and help you provide. I worked for hours to try to put in a repeating event. Now this weekly class is on the calendar for EVERY DAY in 2012. I have worked to delete it--tried everything, and it's still there. I've been scheduling on the old calendar for years, but now I'm ready to bag the job.

To troubleshoot these problems, the engineers might need to know more about your location and role in MLS.

    Thank you for your reply, Tom. When New Family Search first came out, there was a phone number we could call for help. Is there a phone number we could call for help with the new calendar? I contacted my stake administrator;h e also has trouble with repeating and deleting events. I've read all the Help tutorials.

    Val, to answer your question about a contact number for help, you can call the Global Service Desk at 801-240-4357. I'm not sure they're set up to answer calls from units about the calendar.     When locations are added to the calendar and the notification is sent the resources scheduled show up as Null in the email.
    Below is an example. I have scheduled the Chapel, Cultural hall and the Kitchen. Is there something that I am missing in the set up of the calendar. If I click on the calendar itself it shows the proper locations.

    The following calendar event is scheduled.

    Event name: XXXXXXXX
    Event description: Viewing from 9:30 till 10:30 Funeral at 11:00 Burial in the XXXXX Cemetery, Family dinner in the Cultural Hall

    Event date: Dec 10, 2011
    Event time: 9:30 AM
    Location: Burlington 1, 2, Otto
    Location details: Burlington 1, 2, Otto

    Richard, I'm not sure why it says null in the Resources Scheduled. This would be good to bring to the attention of the quality assurance team. They monitor only the LDSTech Forum, so please post this issue there instead of the comment thread here. Also, make sure the stake clerk has set up locations properly in the calendar. That's the first thing I would check.

    Hi, I am trying to find the stake conference schedule for 2012, as well as our ward conference dates for 2012. I need to make a calander for Relief Society. Any Ideas on to where I can find out this info?

    Stake Conference and Ward Conferences should be scheduled by your stake. If you stake is actively using the calendars, you should be able to subscribe to the stake calendars to see if that information has been entered into one of their calendars. If not, you should contact somebody in the stake leadership for those dates.

    I recently upgraded my iPhone to the IOS7 operating system. I have not been able to get the ical file to sync with my phone. It shows in the settings as a subscribed calendar but nothing appears on my calendar. I have deleted and reloaded the url link four times and it still does not work. Any ideas?

    I too am having the same problem. I have found that some times the next day the calendar is added to the ipad calendar but not always. I have checked the ipad log files but find nothing.
