Year-end donor problems

Various things can happen during the year to create problems at tithing settlement associated with donor record numbers. The following problems will cause the donations not to show on the year-end tax statements. They are:

Donor record Is not linked to the membership record

This typically occurs when someone new moves into the ward and makes a donation before their membership record is in the unit.

Solution

  1. Go to Add/Update Donors.
  2. Click on the donor name.
  3. In the Member Type box make sure that Member of Unit is selected.
  4. Click the Select button at the top right.
  5. Select the correct donor in the member record list, then click OK.
  6. Click Save.

Wrong record assignment

This occurs when a donor's record was initially added and associated with some other member's record number.

Solution

  1. Go to Add/Update Donors.
  2. Click on the donor name.
  3. In the Member Type box make sure that Member of Unit is selected.
  4. Click on the Select button at the top right.
  5. Select the correct donor in the member record list, then click OK.
  6. Click Save.

During the year the spouse passes away

When the clerk prints the Individual statement for tithing settlement, the donor name is missing.

Solution

  1. Go to Add/Update Donors.
  2. Click on the donor name.
  3. In the Member Type box make sure that Member of Unit is selected.
  4. Select the correct donor (meaning the living spouse) in the member record list.
  5. Click OK.
  6. Click Save.

Donations were applied to the wrong donor in the batch

When creating a donation batch, every donation for a certain member was applied to the wrong donor record.

Solution

  1. Go to View/Update Donations.
  2. Go through the batches that have the wrong donor name listed and correct each one individually. When you find one of the donations with the wrong donor name, click on the name.
  3. On the donor screen, click the magnifying glass icon next to the donor name.
  4. Click on the correct donor record name from the donor record list, then click OK.
  5. Click Save Donation at the bottom right
  6. Type a reason for the change.
  7. Click OK.
  8. Repeat this process with each donation that was entered with the wrong donor name.

If you experience further problems with attaching donor records to membership records, please contact your stake clerk. If the stake clerk needs further assistance he can call or send a message to the Local Unit Support team at the administrative office.
