MLS administration

This article describes the System Options found within MLS.

Users

Main article: MLS Users

Change user information

  1. Click a user name.
  2. In the window that appears, edit the information.
  3. Click Save.

Delete user information

Next to the user name, click Remove. (The administrator cannot be deleted but may be changed using the instructions above.)

Add User

  1. On the System Options screen, click Add User.
  2. In the User Name field, enter the user name for this member (example: John Jones).
  3. Click Select to the right of the Member field.
  4. Choose the member name from the list, and click OK.
  5. In the New Password field, enter the password this user must enter to log on to MLS.
  6. In the Retype New Password field, enter again the new password.
  7. Click the check box next to the set of rights to MLS that this member will have. See examples below.
  8. Click Save.

User rights (by privilege)

For Church policy, see Maintain MLS User Access; the following list is intended only as a quick reference.

  • Admin: Bishop and ​​ward ​​clerk
  • Edit Membership: ​Members of the ​​bishopric, ​clerks, ​​assistant clerks, and ​​assistant clerks over membership.
  • Finance: ​Members of the ​​bishopric, ​clerks, ​​assistant clerks, and ​​assistant clerks over finance.
  • View Membership: Members of the ​​bishopric, ​clerks, ​​assistant clerks, and ​​assistant clerks over membership.
  • Organization: ​"This is the only right that should be given to ​​quorum and ​​auxiliary presidencies and their ​​secretaries." [1]
  • Edit Recommends: (Stake only) Members of the stake presidency, clerks, ​​assistant clerks, and ​​assistant clerks over membership.
  • View Recommends: Members of the bishopric, Members of the stake presidency, clerks, assistant clerks, and assistant clerks over membership.

User rights (by calling)

The following is a transposition of the above list of user rights for convenience only

Dialer Options

Further information: MLS transmission
  • Connection: Click the button beside the way your unit connects with the administrative office (Use modem, Use Internet, or Auto detect).
  • Area or City Code: If you connect by modem, enter the area code or city code for this telephone number.
  • Dialer Number: If you connect by modem, enter the telephone number used to transmit MLS data to the administrative office. The MLS program assumes you are using a tone-type phone unless you indicate in this number that you are using a pulse-type phone. If you are using a pulse phone, include the letter P in the number. If more than one local telephone number, or combination of local and toll free telephone numbers is used, they should be separated by a semi-colon (e.g. [;]). See the following examples using the fictional telephone number 5551234 (this should be entered with no spaces or dashes):
    • 9,5551234 will dial the entire number using tone. The 9 indicates you must dial 9 to get an outside line. The comma causes a slight pause while the outside line is reached.
    • 9,P5551234 will dial the 9 as tone and the remaining digits as pulse.
    • P9,5551234 will dial all digits as pulse.
    • P9,555T1234 will dial 9 and 555 as pulse, and 1234 as tone.

Locale Options

These are set by the administrative office and cannot be changed. Click Show Options to see what they are.

Default Address Values

  1. In the Country field, enter the name of the country, or click Select and choose the country from the list that appears.
  2. In the State field, enter the name of the state or province, or click Select and choose the state or province from the list that appears.
  3. In the City field, enter the name of the city.
  4. In the Postal Code field, enter the postal code used in your area.

Name Options

This determines how members' names are displayed in lists, either as full names (legal names) or as preferred names. Click the option you prefer. The default is preferred names.

Unit

Edit unit information

  1. Click Edit.
  2. In the Ward/Branch unit name field, enter the official unit name of your ward or branch provided by the Church.
  3. In the Stake/District unit name field, enter the official unit name of your stake or district provided by the Church.
  4. Click Save.

Edit unit address

  1. Click Edit.
  2. In the Country field, enter the name of the country, or click Select and choose the country from the list that appears.
  3. In the Street 1 and Street 2 fields, enter the street address or other delivery information (such as a postal box number).
  4. In the City field, enter the name of the city where your unit is located.
  5. In the State field, enter the name of the state or province where your unit is located, or click Select and choose from the list that appears.
  6. In the Postal Code field, enter the code that the postal service of the country uses to locate geographic areas (such as a zip code).
  7. Click Save.

Edit meeting times

When your unit's meeting time (block schedule) is about to change, update this information in MLS. This information is transmitted to Church headquarters and appears on LDS Maps. It can take a week or two for the updated time to show up on the Maps application, so do not wait until the first of the new year to set the meeting times. Be sure to change the am/pm box when you update the time if your meeting time has changed from morning to afternoon or vice versa.

  1. Click Edit.
  2. In the Block Schedule Start Time field, set the time that the three-hour block of meetings on Sunday begins.
  3. In the Sacrament Meeting Start Time field, set the time that the Sunday sacrament meeting begins.
  4. In the Next Reminder Date field, enter the date when you want to be reminded of the next change to the start time of the three-hour block of Sunday meetings (such as 20 Dec 2009), or click on the calendar icon and select a date. Note that this is not the date the time changes, but rather when an Urgent Task will begin to appear in MLS, reminding you to change the meeting time.
  5. Click Save.

Change ward names or abbreviations (stakes only)

  1. In the Wards/Branches section, click Edit.
  2. Change ward names or abbreviations (unit numbers cannot be changed on this screen).
  3. Click Save.

Be aware that if the ward whose name you have changed, has a different name stored in the unit information of their MLS system options (ward MLS), that name will eventually be fed to the stake's MLS, overwriting the change made at the stake level. In order for the change to persist, the ward name must also be changed in MLS at the ward level.

Change unit order (stakes only)

  1. In the Ward/Branches section, click Change Unit Order.
  2. Use the Move Up and Move Down buttons to reorder unit names in the list.
  3. When finished, click Save.

Add a unit to the Other Units list

Main article: Adding additional units to MLS

If more than one unit is using the same computer, they share the MLS program but have separate data, and they log on separately. You can also add the special test units to create MLS Test Data for training and learning purposes.

Remove a unit from the Other Units list

  • On the Other Units list, locate the unit number. To the right of the unit number, click Remove.

Finances

Click on these checkboxes to select or deselect the following options 

  • Show check numbers in lists. This allows you to enter the check number (number printed on check) when entering check amounts. When you select this option, the check number field will appear on the donation screens. Then both check numbers and amounts will appear on finance reports generated by MLS. If you do not select this option, only the check amount field will be on the donation screens, and you will be unable to enter the check numbers.
  • Assume decimal point when typing numbers. If you select this option, MLS will include the decimal point with the number and you will not have  to type the decimal point. For example, when you type 2245 in a country that uses two decimal points in money amounts, it will be recorded as 22.45. If you do not select this option, you will have to type the decimal point. If you do not type the decimal point, MLS will add zeros in the decimal places. For example, when you type 2245 in a country that uses two decimal points in money amounts, it will be recorded as 2245.00.
  • Enter Tax Amount on Expenses. Units in areas where the Church must pay taxes on purchases will have this option. If you select this option, a box to enter the tax amount on a check or other expense will be available on the Enter Expense screen. Completing this box when you enter an expense will allow the Church to get a portion of the tax back from the local government.
  • Print checks. If you select this option, on the screen where you record expenses, a button will appear that will allow you to print a check if desired. To use this feature, you must have special check stock provided by your administrative office.
  • Cause donor list pop-up while entering donations. If you select this option, a list of donors will pop up on the screen each time you enter a new donation. You may use this list to choose the next donor.
  • Calendar year budget. If you select this option, the budget year will align with the calendar year instead of the fiscal year. (For most units, the calendar year and fiscal year are the same.)

If you use multiple currencies, you will see a Default Currency field. Click the down arrow, and select the currency that your ward will use the most.

User Options

Required Field Color

This allows you to choose the color that appears in fields that are required, or that must be filled out in MLS. The default color is a light yellow. To change the color, click the square with the color you want. The color appears in the sample field to the right.

Show Tool Tip Help

Tool tip help appears when you place the mouse arrow over a field or label without clicking. To activate this feature click the check box next to Show tool tip help.

When finished, click Save.

Members

There are three tabs or panels on the Members screen: Talents and Interests, Custom Talents and Interests, and Custom Fields.

Talents and Interests panel

This panel shows the default list of talents and interests included with MLS. This panel cannot be edited.

Custom Talents and Interests panel

To add a talent or interest that does not appear on the panel above, do the following:

  1. Click a Not Defined field. Use fields in numerical order.
  2. In the Name field, enter a short description of a talent or interest, such as Pianist or Family History.
  3. Click Save.

You can also enter custom fields that contain a word string or a date. These can be used later to form custom reports. For example, you may want to create a report that contains every student who will go home for Christmas break on a certain date or a list of everyone who owns a pickup truck 1998 or newer. These fields can help you do this.

  1. Delete any User Definable Field by clicking Remove. It is easier to start with a clean area.
  2. Click Add.
  3. In the Name field, enter the name you want to give this field (Members who recently moved in, power boat owners, and so on).
  4. In the Value field, click Date or String (a string means a string of words). For example, you would want to use Date for those who recently moved in.
  5. In the Description field, enter a description of the field (optional).
  6. Click Save.

You will define the values on this field when you assign values to an individual member (see Custom Fields.) Here you are only creating the name and type of field.

Printing

Mailing Label Offsets

  1. In the Top Margin Offset field, enter the distance from the top of the mailing label to where the address should begin.
  2. In the Left Margin Offset field, enter the distance from the left side of the mailing label to where the address should begin.
  3. In the Show Country field, click Yes or No.

Check Printing Offsets

  1. In the Top Margin Offset field, enter the distance from the top of a check stock to where the check printing should begin.
  2. In the Left Margin Offset field, enter the distance from the left side of a check stock to where the check printing should begin.

Languages

In the Check Printing field, click the down arrow and choose the language you want to print checks in.
