Leader and Clerk Resources help

Clerk Resources on LDS.org is the next step in the development of local unit record keeping software for the Church. Clerk Resources will eventually replace the Member and Leader Services (MLS) software for most units. Over the next few years, functions now available in MLS will be added to Clerk Resources which will allow leaders and clerks to do some of their work from computers with Internet access, not just on a computer in the clerk's office. Additional functions not available in MLS will also be added to Clerk Resources.

Leaders and clerks must log into LDS.org using their LDS Account to access available functions on Clerk Resources.

The following functions are now available on Clerk Resources.

Confidentiality of member information

Membership records and member information available on Clerk Resources are confidential. Only the following people should have access to a member’s record:

  • The member (in the presence of the bishop or clerk assigned to membership records)
  • Bishopric members
  • Ward clerk
  • Assistant ward clerks
  • Parents of the member (in the presence of the bishop or clerk assigned to member records) if:
a. The parents have legal custody
b. The child is under 18
c. The child is living in the same household

Bishopric members may print an Individual Ordinance Summary (IOS) for each member. This contains much of the same information as the membership record. The member may keep the IOS.

Clerk Resources on LDS.org provides clerks with lists, reports, and tasks that were previously available only on MLS.

Links under the Resources menu are explained below.

Interviews

Interviews is a tool that allows the executive secretary schedule interviews and keep the bishop and his counselors informed about them. He can schedule an interview and the bishop and his councilors will see those interviews when they click on Interview link in Leader Resources.

Missionary Online Recommendation System

This link opens the login window for the Bishop to begin entering information for a prospective missionary. Help for the Missionary Online Recommendation System is available by clicking on the Help link after you log into the system.

Employment Resource Services

This link opens the LDS Employment Resources Services web site. Priesthood leaders and employment specialists can create an account and access the resources they need for their calling.

Church Handbooks

This link opens the online version of the Handbooks. Book 1, for Stake Presidents and Bishops is only available to stake presidents and bishops who log in with their LDS Account.

Church Directory of Organizations and Leaders

The Church Directory of Organizations and Leaders is the source of information about stakes, districts, wards, and branches and the leaders who serve in those units.

Clicking this link opens the login window to the Church directory. Priesthood leaders and clerks who are authorized to log into this site can find contact information for priesthood leaders world wide.

Purchase Materials

This link opens the Church Online Store website where priesthood leaders, members, and others can order Church materials. Follow instructions and links on the site to order needed materials.

Membership

Links under the Membership menu are explained below.

Member List

This link opens a list of all members of the ward or branch . You can sort the list by clicking on Name, Age, or Birth Date at the top of the columns.

The list includes all members of the ward or branch, including infants and children who have a Church membership record.

To find a member, begin typing the members' name in the Find Member in list field. The system will begin filtering the list as you type the letters.

The list includes only those who have a Church membership record.

To view a members' information, click on the members' name.

View or print a list of members

To print a list of members:

  1. Click Membership.
  2. Click Membership List under the Records column.
    To sort the list, click on Name, Age, or Birth Date.
  3. When the Member List opens, click the Print button at the top right of the member list.

Note: To print a Directory of Members:

  1. Go to LDS.org.
  2. Click Tools.
  3. Click Directory.
  4. When the Directory window opens, click Households and a window will open which allows you to select what to include on the directory.

Individual information tab

The Individual information tab displays the members' information.

The ordinances tab includes ordinance information. This may include dates, who performed the ordinance, and the name of the temple where temple ordinances were received. Ordinance information may include:

  • Baptism
  • Confirmation
  • Deacon ordination
  • Teacher ordination
  • Priest ordination
  • Elder ordination
  • Seventy ordination
  • High Priest ordination
  • Temple endowment
  • Sealed to spouse
  • Sealed to parents or born in the covenant

Callings tab

The callings tab includes the:

  • Set Apart ( a checkmark indicates a member has been set apart)

View or print a membership record

To view or print a membership record:

  1. Click Membership link
  2. Click Member List.
  3. When the Member List opens, click on the member's name whose membership record you want to print, or begin typing the members' name in the Find Member in list field.
  4. Click the members' name.
  5. When the Member Information window opens, click Print Membership Record under the Quick Links on the right side of the window and a screen will open and display a PDF version of the record.

Print membership records for all members of a household

To print membership records for all members of a household:

  1. Click Membership link
  2. Click Membership List.
  3. When the Member List opens, click on the member's name whose membership record you want to print, or begin typing the members' name in the Find Member in list field.
  4. Click the members' name.
  5. When the Member Information window opens, click the Print Household MRs link on the right side of the window and a screen will open and display a PDF version of the records.

Print a member's Individual Ordinance Summary (IOS)

To view or print a member's Individual Ordinance Summary(IOS):

  1. Click Membership link .
  2. Click Member List.
  3. When the Member List opens, click on the member's name whose IOS you want to print, or begin typing the members' name in the Find Member in list field.
  4. Click the members' name.
  5. When the Member Information window opens, click the Print Member's IOS link on the right side of the window and a screen will open and display a PDF version of the IOS.

  6. Click the print button or link for your browser, or click the print button that may be visible on the IOS.

Print an IOS for all household members

To print an IOS for all members of a household:

  1. Click the Membership link.
  2. Click Member List.
  3. When the Member List opens, click on the member's name whose IOS you want to print, or begin typing the members' name in the Find Member in list field.
  4. Click the members' name.
  5. When the Member Information window opens, click the Print Household IOS's link on the right side of the window and a screen will open and display a PDF version of the IOS.

  6. Click the print button or link for your browser, or click the print button that may be visible on the IOS.

Request records

To request records of members, you will need the member's membership record number and name, OR the member's name and birthdate. To request records for members who have moved into your ward:

  1. Click the Membership link.
  2. Click Request Records.

  3. When the Request Records window opens, enter the following information into the correct fields:
    Membership Record Number and Name.
    or
    Name and Birth Date.
  4. Click the Lookup button.
  5. If a record is found that matches the information entered, click the checkbox next to Select entire household or click the checkbox next to the names of those whose records are to be moved into the ward, then click the Continue button.

  6. The Update Contact Information window will open. Begin entering the address and a Residential Address window will open.
  7. Enter the address information, then click the Save button and you will be returned to the Update Contact Information window.
  8. Click the Move Into Ward button. The new membership record(s) will be available immediately.

If the membership record is not found:

  1. A warning message will appear suggesting that you check the information for accuracy or click the More Search Options link at the bottom of the window.
  2. If you click the More Search Options at the bottom of the Request Records window, enter as much information as you have into the fields, and click the Lookup button.

  3. If the membership record is still not found, click the Need help from a Church administrative representative? link in the warning bar.
  4. When the Request Records Church Administrative Help window opens, enter as much information as the member can give you.

  5. Contact the member to get the information. Enter as much information as you can, then click the Submit button.
  6. The administrative staff will attempt to find the member's record and assign it to your ward.

Print an Officers Sustained form

To print an Officers Sustained form:

  1. Click the Membership link.
  2. Click Officers Sustained link.
  3. When the Officers Sustained screen opens, enter the Conference Location and Conference Date into the appropriate fields.
  4. Review the information to make sure it is all accurate.
  5. Update the callings, if necessary.
  6. If the form is for a ward or branch, enter the number of missionaries serving from the ward or branch.
  7. Click the Print button to print the form.

The Organizations menu provides links to the following lists:

View or print an organization list

To view or print an organization list:

  1. Click Organizations.
  2. Click the Callings by Organization link.
  3. The Callings by Organization window will open with a list of all organizations. Organization positions are also listed for most organizations.
  4. Click the View Organization link next to an organization name and the organization list will open. Some organizations will also include all members of the organization. Other organizations will include a link to those in individual classes.
  5. Click the Print button to in the upper right corner of the window to print the form.

View or print the Members with Callings list

  1. Click Organizations.
  2. Click the Members with Callings link.
  3. When the list of members with callings opens, click the Print button in the upper right corner of the list or type the name of a member in the Find Member in list field to find a specific member.

Note: You can sort the list by clicking on following titles at the top of the list: Name, Organization, Calling, Sustained, or Set Apart.

View or print the Members without Callings list

  1. Click Organizations.
  2. Click the Members without Callings link.
  3. When the list of members without callings opens, click the Print button in the upper right corner of the list or type the name of a member in the Find Member in list field to find a specific member.

Note: You can sort the list by clicking on Name, Sex, or Age at the top of the list.

View or print the Out of Unit Callings list

The Out of Unit Callings list includes members who are serving in any calling outside their ward or branch. These callings include those serving in stake callings or in callings outside their home stake, such as those serving in a singles stake or student stake.

To view or print the list:

  1. Click Organizations.
  2. Click the Out of Unit Callings link.
  3. When the Out of Unit Callings list opens, click the Print button in the upper right corner of the list or to find a specific member, type the members' name in the Find Member in list field.

Note: You can sort the list by clicking Calling, Name, or Sustained date.

View or print a Bishopric list

To view or print a list of those who are members of the bishopric:

  1. Click Organizations.
  2. Click the Bishopric link in the Priesthood column.
  3. When the Out of Unit Callings list opens, click the Print button in the upper right corner of the list.

View or print a High Priests Group list

The High Priests Group list includes the following sections: High Priests Group Leadership, Other High Priests Group Callings, and High Priests Group Members. The High Priests Group may include men who hold no priesthood or who only hold the Aaronic Priesthood.

To view or print a list of those who are members of the high priests group:

  1. Click Organizations.
  2. Click the High Priests Group link in the Priesthood column.
  3. When the High Priests Group list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name, Priesthood, or Age.

View or print an Elders Quorum list

The Elders Quorum list includes the following sections: Elders Quoum Leadership, Other Elders Quorum Callings, and Elders Quorum Members.

To view or print a list of those who are members of the high priests group:

  1. Click Organizations.
  2. Click the High Priests Group link in the Priesthood column.
  3. When the High Priests Group list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name, Priesthood, or Age.

View or print a Relief Society list

The Relief Society list includes the following sections: Relief Society Leadership, Other Relief Society Callings, and Relief Society Members.

To view or print a list of those who are members of the Relief Society:

  1. Click Organizations.
  2. Click the Relief Society link in the Auxiliaries column.
  3. When the Relief Society list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name, Age, Sustained, or Position.

View or print a Sunday School list

The Sunday School list includes the following sections: Sunday School Leadership, Other Sunday School Callings, and Sunday School Classes. You can click on the name of a Sunday School class to view or print a list of members.

To view or print a list of those have callings in the Sunday School organization:

  1. Click Organizations.
  2. Click the Sunday School link in the Auxiliaries column.
  3. When the Sunday School list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Position, Name, Set Apart date, or Sustained.

View or print a Young Men list

The Young Men list includes the following sections: Young Men Leadership, Other Young Men Callings, and Young Men Quorums.

To view or print a list of those who are members of the Young Men priesthood leadership or quorums:

  1. Click Organizations.
  2. Click the Young Men link in the Auxiliaries column.
  3. When the Young Men list opens, click the Print button in the upper right corner of the list.
  4. To print a list of members of an Aaronic Priesthood quorum, click the name of the quorum.
  5. When the quorum list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name, Position, or Sustained date.

View or print a Young Women list

The Young Women list includes the following sections: Young Women Leadership, Other Young Women Callings, and Young Women Classes.

To view or print a list of those who are members of the Young Women leaders or those with other callings in the Young Women organization:

  1. Click Organizations.
  2. Click the Young Women link in the Auxiliaries column.
  3. When the Young Women list opens, click the Print button in the upper right corner of the list.
  4. To print a list of members of an Young Women classes, click the name of the class.
  5. When the class list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name, or Position.

View or print a Primary list

The Primary list includes the following sections: Primary Leadership, Other Primary Callings, and Primary Classes.

To view or print a list of those who are members of the Primary leaders or those with other callings in the Primary organization:

  1. Click Organizations.
  2. Click the Young Women link in the Auxiliaries column.
  3. When the Primary list opens, click the Print button in the upper right corner of the list.
  4. To print a list of members of an Primary classes, click the name of the class.
  5. When the class list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name, or Position.

View or print a Boy Scouts list

The Boy Scouts list includes the following sections: Boy Scouts Leadership and Other Boy Scouts Callings.

To view or print a list of those who are members of the Boy Scouts leaders or those with other callings in the Boy Scouts organization:

  1. Click Organizations.
  2. Click the Boy Scouts link in the Auxiliaries column.
  3. When the Boy Scouts list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name, or Position.

View or print an Other Callings list

The Other Callings list contains a list of callings that are not be associated with a specific organization. These callings are defined in Handbook 1, Stake Presidents and Bishops, and Handbook 2, Administering the Church.

To view or print a list of those who other callings in the ward:

  1. Click Organizations.
  2. Click the Other Callings link in the Auxiliaries column.
  3. When the Other Callings list opens, click the Print button in the upper right corner of the list.
  4. Click the more details link next to Other Callings 1 or Other Callings 2 to view set apart and sustained dates and phone numbers.

Note: You can sort the list by clicking Name or Position.

View or print a Young Single Adults (18-30) list

The Young Single Adult list contains a list of young single adults 18-30 years of age.

To view or print a Young Single Adult list:

  1. Click Organizations.
  2. Click the Young Single Adult (18-30) link in the Other column.
  3. When the Young Single Adult list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name or Age.

View or print a Single Adults (31 and over) list

The Single Adult list contains a list of single adults ages 31 and over.

To view or print a Young Single Adult list:

  1. Click Organizations.
  2. Click the Single Adult (31 and over) link in the Other column.
  3. When the Single Adult list opens, click the Print button in the upper right corner of the list.

Note: You can sort the list by clicking Name or Age.

View or print the Action and Interview list

The Action and Interview list is the list of those who should be interviewed by the bishop or one of his counselors or that the bishop or his counselors should help prepare for baptism, missions, or priesthood ordinations.

The executive secretary can use the list to schedule interview for the bishop or his counselors.

To view or print the Action and Interview list:

  1. Click Reports.
  2. Click the Action and Interview link in the Membership column.
  3. When the Action and Interview list opens, click the Print button in the upper right corner of the list.

Unit statistics

The unit statistics window displays the number of people in each of the categories listed below. Click the following link to view or print the Unit statistics report.

View or print unit statistics

To view or print unit statistics:

  1. Click Reports.
  2. Click the Unit Statistics link in the Membership column.
  3. When the Unit Statistics list opens, click the Print button in the upper right corner of the list.
  4. To view or print a list of any of the groups, click on the name of the group.
  5. When the list opens, click the Print button in the upper right corner of the list.

Quarterly Report

The Quarterly Report link opens the Quarterly Report window. A priesthood leader or clerk can enter report information into the fields after the end of each quarter.

Click the more link in the blue bar at the top of the report to view instructions for completing the report.

Roll the mouse pointer over the name of each line on the report to view information about the information being reported.

After all information has been entered into the fields, click the Submit button to transmit the report to the stake and to the administration office.

New Member report

The New Member list generates a list of converts who have been baptized in the past 12 or 24 months. Children of converts who are under eight years of age are also included in the list.

To view or print the New Member Report:

  1. Click Reports.
  2. Click the New Member Report link in the Membership column to view the report.
  3. Click the arrows next to Show for the past to select the period of time for the report.
  4. To print the report, click the Print button in the upper right corner of the list.

Key Indicators report

The Key Indicators report displays a graph of the key indicators listed below. Priesthood and other leaders can use the report to see trends over time.

To view one or more of the statistics, click the checkbox next to the statistic name. Select the number of quarters to view in the Display prior quarters by clicking on the up or down arrow next to the number of quarters. Click the Select/Deselect All button to put checkmarks in the boxes or to remove them.

  • Sacrament meeting attendance percentage
  • Home teaching percentage
  • Endowed adults with temple recommend percentage
  • Young men Priesthood attendance percentage
  • Young women attendance percentage
  • Melchizedek Priesthood attendance percentage
  • Relief Society attendance percentage
  • Visiting teaching percentage
  • Men holding the Melchizedek Priesthood percentage

Birthday List

The Birthday List allows you to view and print a birthday list by:

  • Organization
           High Priests
           Elders
           Relief Society
           Young Men
           Young Women
           Primary
  • First month to show
  • Number of months to show

To view or print the list:

  1. Click Report.
  2. Click the Birthday List link in the Membership column.
  3. To show the age of those on the list on the day the list was viewed or printed, click the checkbox next to Show Age. To remove the age from the list, click the checkbox to remove the checkmark.
  4. To print the report, click the Print button at the top left of the Birthday List window.

The list will include the:

  • Birthday.
  • Name.
  • Age (on the day the report was prepared if the Show Age box is checked).
  • Phone number
  • Street address.

Note: Personal information is confidential, including birthdate and age. Give this report only to those authorized to use the information.

Members Moved In report

The Members Moved In report lists all those who have moved into the ward during the past 12 months. You can select a period of time from one month to 12 months by clicking the down arrow to the right side of the Show for past button.

The report includes:

  • Name
  • Age
  • Move In Date
  • Household position
  • Sex
  • Street address
  • Phone number.

To view or print the report:

  1. Click Report.
  2. Click the Members Moved In link in the Membership column.
  3. To show the age of those on the list on the day the list was viewed or printed, click the checkbox next to Show Age. To remove the age from the list, click the checkbox to remove the checkmark.
  4. To print the report, click the Print button at the top left of the Members Moved In window.

Not Endowed report

The Not Endowed report lists all members of the ward 18 years old and older who have not receive their temple endowment.

The list includes the member's:

  • Name.
  • Age
  • Marriage date (if married).
  • Phone number.

To view or print the New Member Report:

  1. Click Reports.
  2. Click the Not Endowed link in the Membership column to view the report.
  3. To print the report, click the Print button in the upper right corner of the list.

Attendance rolls

The Attendance Rolls selection allows you to view or print rolls for one quorum or class or for all quorums or classes in an organization.

You can print the roll for the current quarter or for the next quarter. You can also add blank lines at the bottom of the roll for visitors attending the class.

View or print Attendance Rolls

To view or print an Attendance Roll:

  1. Click Report.
  2. Click the Attendance Rolls link in the Organizations column.
  3. When Attendance Rolls windows opens enter the number of blank lines you want at the bottom of the roll.
  4. Click the button next to the quarter for the roll (Current or Next quarter).
  5. Click the up/down arrow to the right of Select an organization.
  6. When the drop-down list appears, click on the name of the organization for which you want the roll.
  7. Click the scroll bar to the right of the list to view the organizations available.
  8. Click the Print button at the top right of the list to print the roll.

To show the age of those on the list on the day the list was viewed or printed, click the checkbox next to Show Age. To remove the age from the list, click the checkbox to remove the checkmark.

  1. To print the report, click the Print button at the top left of the Members Moved In window.

Glossary

Out of unit member

An out of unit member is a person who is serving in a calling outside of their home ward or branch. These may include callings in:

  • Student wards or stakes.
  • Singles wards or stakes.
  • Language specific wards or stakes.
  • Missionary Training Centers.
  • Care centers or correctional facilities.

Membership record

An individual's membership record is stored at the administration office. Priesthood leaders and clerks can view, print, correct, and update membership records with the Member and Leader Services (MLS) software in the ward where the person lives.

For statistical and reporting purposes, the following persons are members of record and should have a membership record:

  1. Those who have been baptized and confirmed.
  2. Those under age nine who have been blessed but not baptized.
  3. Those who are not accountable because of intellectual disabilities, regardless of age.
  4. Unblessed children under age eight when:
    • Two member parents request you create a record.
    • One member parent requests you create a record and the nonmember parent gives permission.

A person who is nine years or older who has a membership record but has not been baptized and confirmed is not considered a member of record. However, the bishop may keep the membership record until the person is 18. At that time if the person chooses not to be baptized despite being given every opportunity, the bishop, with written permission from the stake president, may cancel the membership record. He should not, however, cancel membership records of persons not considered accountable because of mental disabilities.

MLS can be used to make changes to the membership record, which are then transmitted to CHQ.
