Stake to Ward Event Workflows

In the previous calendar, stake calendar approvers could create an event at the stake level and push it down to selected ward calendars.

The new calendar does not have this workflow. You cannot push an event from a stake calendar down to a ward calendar. Ward calendars and stake calendars operate independently of each other. Stake calendar approvers also do not have control over ward calendars.

Ward members will see stake calendars in their list of Subscribed Calendars. Events from the stake calendar will automatically appear on each ward member's calendar unless the member unsubscribes from the calendar or opts out of auto-subscriptions.

For many stake calendars, this functionality fits in well with their workflow. However, it can also be problematic. If your stake has eight to ten different welfare assignments, many of which have separate days for each ward, and also lists ward conferences on the stake calendar, it can be tricky to handle this setup in the new calendar. Using stake calendars for the events either forces all the wards to see all the other wards' ward conference and welfare events, or requires you to create separate calendars for each ward. Since each member is auto-subscribed to new calendars, wards will have dozens of calendars to unsubscribe from in their Subscribed Calendars section.

In Quarter 3 of 2011, the calendar will be enhanced with the ability to handle this workflow (allowing events to appear on multiple calendars). In the meantime, if you run into this situation, consider publishing these ward-specific stake events on ward calendars rather than stake calendars. This may require coordination between ward calendar editors and stake calendar editors. Alternatively, you can empower a stake calendar editor to publish on a ward calendar by adding the stake calendar editor as a building scheduler for the relevant ward locations.
