#1

Post by kenhan »

Hi,

I'm a newish ward clerk and I'm trying find out which ward leaders are able to use the "Bill to the aaa Ward" option on the store.lds.org site. I found another thread that was more aimed at how to deal with these purchases financial and for audit purposes, but I really would like to know who can do can use this option in our ward. Any help is greatly appreciated.

I haven't "pressed to test" this by asking any of our ward leaders but I know the bishop, clerk, and all assistant clerks can.

This question never received a full answer and I have a related question -- is there a way to change settings to give somebody authority to purchase items from store.lds.org and bill them to ward/stake if they do not have that authority by default?

The permissions are set by calling. There are no settings to change other than through programming.

Who Has Access to Restricted Items at store.lds.org

There are many callings that can access restricted items, but cannot bill the unit. These callings can see restricted items that are related to their calling and they can pay for them using a credit card, which explains why you may see restricted items on a personal order placed at store.lds.org. We recommend members who have rights to view items but not rights to bill items to their unit have their unit leaders place the orders for these restricted items. The following is a list of callings which can see restricted items associated with their calling.

Stakes, Wards, & Branches:
• Primary President, Counselors, and Secretary
• Relief Society President, Counselors, and Secretary
• Young Men President, Counselors, and Secretary
• Young Women President, Counselors, and Secretary
• Assistant Clerk – Technology Specialist
• District Clerk
• District Executive Secretary
• Acting Branch Leader
• Acting Branch President

I can't speak for any changes in the past couple of months, but I have seen Primary counselors and YW Counselors charge things on Store.lds.org that have been direct billed to the unit. Frustrating, to say the least, when an unexpected charge shows up and no one knows where it came from.

Can you give me an example of an order number from the Online Store where a YW counselor or Primary counselor charged things on store.lds.org that have been directly billed to the unit? Was the order placed using the primary counselors or YW counselors LDS Account or did they use their husbands LDS Account who would be in a church calling that would have rights to bill to unit?

I am sorry, I have been released and am now HPGL. I don't have access to the financial records anymore. I can tell you the husband of the Primary Counselor who placed order is on the Stake High Council so I don't think that was the case. The information from the Online Store record that came down to MLS listed the Counselor as the one who placed the order. I was very surprised that she was able to direct-bill the unit.

Update: I just tried to see if I could put something in the shopping card and charge it to the ward - I no longer have access to that functionality (I am now the HPGL). Funny, though, that my ship-to address is still the bishop's home (which was primary when I was ward clerk - my home address was an alternate).

So it looks like the problem experienced before has been corrected.
