Required Birth Year for Requested Record

#1

Post by greenwoodkl »

I have a concern/suggestion/question about Requesting Records in MLS. I had a request from our Bishop to request a record that we sent to the Unknown Unit. We had the Update Report with the full name and record number. However, we didn't have the birthdate anymore. I could not submit without a birth year. Why is it that I cannot submit a request if I have a record number without a year/date? Is this based on policy? It would seem more practical to do an either/or birthdate or record number or both check. Any insights?

kgthunder, before moving to MLS we had the capability of requesting records by just using the name and record #. I do not know why it is not allowed in MLS.

I do know that if you call CHQ Membership Line (at 800-453-3860 x23500) they can find the individual for you and have the records sent back.

There are other ways but it requires restoring older databases and it can get ugly if anything is done out of sequence.

I recommend just calling CHQ.

The minimum is Name and birth year. You can enter the record number. So perhaps if you guess at birth year, it might still be possible. I'm not sure what happens if you give a record number but the birth year is off by a bit.

If you have the incorrect birth date but the membership number, it will have to be manually processed and so the record will get sent, but it won't happen in the usual 1-2 hours.

Having been a membership clerk when everything was done by snail mail, I'm happy it shows up by the next Sunday. :)

Ditto. Don't miss the snail mail days.

I'm hoping that when a Record is sent to Address Unknow that somehow
data is kept of their cell phone number.
Often FTMs tracking streets here in Eastern US find new or
less active members from The West.
Missionaries usually write down Full name, address and cell phone, but
often forget to ask for full date of birth or feel that in so asking
they'd possibly create a defensive reaction, and so don't obtain it.
An out of state cell phone number could help ID someone who's still
assigned to Address Unknown.

I'd hope a ward wouldn't send a record to address unknown that still had a working phone number. Not unless the member was avoiding them.

And most usually do. We leave messages and there's never any response.

We can tell by phone digits which are local land line numbers and which are probably portables.

Calls to a local land line number will report being Disconnected or No Longer in Service, but
portable phone numbers never do.

It would be nice to be able to include within existing record data fields any existing
portable number and even any known E-mail address.
When these are entered, MLS forces us
away from transmitting records to Address Unknown Dept (AUD),
to a new address option. We already know, from returned postal mail, that these members
no longer live at their currently listed address.
Such data, we do include within small comment window,
before re-assigning record to AUD. That data is probably not searchable, however.
