Help needed with importing Stake Calendar from the Classic to the new version

Help needed with importing Stake Calendar from the Classic to the new version

I am a Ward Webpage Administrator, the Stake Webpage Administrator and the Stake Center Building Scheduler.

I attended the Webinar last Thursday, as well as today. I have read the 6 slides and watched the videos.

I have read the posts I saw that might possibly pertain to my problem and didn't see an answer, so, I thought I would ask in a new thread.

Today I decided to give the importing process a try. I was able to see my ward info, to import my ward calendar items, which, it took from today's date forward, but did NOT get all of the activities, but I'll worry about that later.

My main concern right now is for the Stake Activities and Meetings. I have already entered a lot of meetings and activities onto the Stake Calendar for 2012 in the classic version. I am not able to see any Stake info from the classic version on the new calendar webpage. I also have 91 submissions for 2012 on the classic version that the software will not let me approve of. It says the start date can not be in 2012 and won't let me approve of them.

My Stake Technology Specialist and I were on the phone together and were both logged onto the new calendar webpage at the same time today and he could see the new calendars I made up for adding the stake activities and meetings to, but he couldn't see any info from the classic version of the stake calendar to be able to import to the new version either. We are stumped. Could it be possible that neither of us have full Stake Access, even though we both show up as being the designated people for our respective callings?

If you could please help, we'd both appreciate it!

That should give you all the permissions you need, assuming those callings are all standard callings (and from your last paragraph, it sounds like they are).

Yes, it's true that you can no longer approve submitted events for 2012 or add new events for 2012 on the classic calendar. But you should still be able to import them into the new calendar. That should be working for your stake events just like it did for most of your ward events.

When you say "I am not able to see any Stake info from the classic version on the new calendar webpage" are you referring to the place in Settings > Setup & Import where you are given an opportunity to import events from the classic calendar? Or are you talking about some other area in the Calendar system where you expect to be able to see those events from the classic calendar?

When you say "show up" I hope you mean that when you go to Settings > Administrators you do see your name listed, with "(Default Admin)" in the far right column. If so, then that means you have the standard calling of Stake Website Administrator (or Stake Building Specialist) and thus are a stake default administrator. The Stake Technology Specialist should definitely be a stake default administrator as well. There is no higher level of administrative access (but there are a few things only building schedulers can do, but it sounds like you have been designated as that, too).

Well, once this posted, the snips are too small and you probably can't see them, but, yes, I am listed as a Default Admin for the Stake Website Administrator and he is listed as the Default Admin for the Stake Assistant Clerk Technology Spc. The slot for Stake Building Specialist has "Position Unfilled" instead of someone's name.

The Classic Stake Calendar is not showing up for me like the Ward Calendar did. It's just not there for me to see.

I discovered something last week ... on the Classic Calendar ... if you enter reoccurring events, such as a meeting on every 2nd Sunday, etc, and it started in December of 2011 and continues until the end of Dec 2012, it let me do it, because it started in 2011, but other changes or new entries are not possible to make at this point in time since they start in 2012.

Yes, when I go to Settings > Setup & Import, the entries from the Classic Stake Calendar are not showing up for me to be able to import into the new calendars.

I added the snip of the Default Admin Callings up above and the one for Stake Building Specialist does not have anyone's name. Should someone (maybe me) be listed in that slot as well?

I added myself as the Building Scheduler for the Stake Center

Interesting ..... when I am added as a Default Admin by calling, it shows my full name. When I add myself by name, it uses my preferred name. Would that cause any problem?

Thank you for your help. I would really love to be able to get this figured out today and get my Stake Calendar imported and up to date and get my 91 submissions taken care of as well.

I doubt it. I think it displays according to who you are. It probably shows you your full name, but shows others your preferred name when they look at that screen when they are logged on and shows them their given name. Just my guess.

I'm guessing you are not saying that you can't see the Classic Stake Calendar itself when you go to the old Classic Ward and Stake Website, but rather that you don't see it on the Import step of Settings > Setup & Import.

Have you asked a stake administrator to try doing the import? I'm wondering if the fact that you are both a ward calendar administrator and a stake calendar administrator is causing a problem in this particular area. It's certainly conceivable that the system sees that you are a ward administrator, so it imports ward calendars, and then never goes back to check to see if you are also a stake administrator (that combination, although not unique, is quite rare).

If you ask a stake administrator who is not any kind of ward administrator to try the import, we will know if my hypothesis has any merit.

You mentioned earlier that those 91 submissions on the classic calendar are for events in 2012. You haven't said it directly, but I assume you have figured out that you can't do anything with those pending submissions on the old calendar; all you can do is to see what they have requested, and manually enter events on the new calendar for each of those submitted events.

Yes, I can see everything on the Stake Calendar in the Classic Website. My Stake Technology Specialist also couldn't see the Classic Stake Calendar version in the new version in the Settings > Setup & Import area either.

I called CH today and the man I spoke with had me look at things, tell him what I saw, etc, he said he would have to pass it along and get back to me. He could see that I was correctly entered by my calling as Ward Website Administrator and Stake Website Administrator.

Another option you might consider is to go to the Classic Calendar (the user view, not the Admin view), and do an iCal export and save the result as a file. Then you can import that iCal file into the new Calendar. It won't be as slick as the import feature, since you'll have to manually move events to the correct calendars, but at least it would be a way to preserve the data. I wouldn't recommend that until you've exhausted your options for doing the import the normal way, but you can keep that option open if all else fails. Just make sure you do the export from the Classic Calendar before the end of the year, or you will no longer be able to access that data.

I thought I read somewhere that the pending submissions would migrate along with the classic calendar! OUCH! I realize I can't approve of them in the Classic Version but was thinking they would migrate, but if I end up not being able to migrate anything, I am going to sure have my work cut out for me with not only having to enter the events all over again, plus the 91 waiting submissions. I don't feel very cheery right now. LOL
