Manage Locations and Resources

I'm trying to add events to the stake calendar, but there are no locations listed in the Event Details window. When I click on Options on the main calendar page, Manage Locations and Resources is not listed. How does that option get added? Is that something the Stake Clerk has to give me access to?

The important questions are:
  1. What calling do you have? Clearly you expect to be able to add events to the calendar.
  2. Is this calling properly entered in stake MLS? The stake clerk can verify this.
The new calendar gives permissions to the entire calendar by calling. Members of the stake presidency, executive secretary, clerks, and stake website administrator are all "approvers" meaning they have rights to the entire stake calendar. But those callings must be entered in stake MLS as the correct standard calling. If you have one of those callings, the stake clerk can make sure this was entered properly.

If you have some other calling, you can still be designated as an editor of one or more specific calendars within the stake calendar. Again, your stake clerk can configure that in the calendar, and then you will be able to add or update events for that calendar or calendars.

mbthomas's question is related specifically to creating resources. This is something I haven't been able to get my stake to do yet, and it isn't high on their list of priorities. Getting resource set up, however, is the last piece I need before my ward can really begin using the new calendar (which people are trying to do since it's so much easier to get to than classic LUWS).

But, if I understand correctly, only the stake administrators may create and manage resources.

Does anyone happen to know if you have to have administrative privileges granted through Stake MLS to create resources? Or could I have one of the stake presidency add me as a stake approver and then I could go in and create my own resources?

(Shame on me, I'm looking at the wiki now, but I'll post the question anyway...I might post my own answer in a minute).

Our stake is not yet using the new calendar (except for private calendars on a test basis). But our SPcy went in and set up the resources so that our wards could use the new calendar.

I think you'd have better luck at the stake adding the resources for your use, than getting set up as a stake administrator without a stake calling.

Also note that when our stake originally setup our ward building as a resource, the ward building still could not be selected on a ward calendar as a ward resource until the stake authorized the ward building's use at the stake level as well, i.e., the stake presidency had originally restricted the reservation of the ward building to only the ward, but until the stake presidency opened it up to the reservation of the entire stake the ward building did not appear as a resource on the ward calendar.

Weird, but that was the explanation I received from the stake.

That appears to be the problem. I just checked and I'm listed as an assistant stake clerk, but not the website administrator. I'll have the stake clerk fix that.

As a follow up question, the church buildings are not listed automatically in the locations and resources? I would have to individually create each chapel in the list? And then each "reservable" room within each building? I thought I read somewhere that the chapels are listed by the FSR name and not necessarily the common name given the members. That led me to believe that chapels were listed automatically, but the more comments I read in this forum it seems like I would have to create them myself. Can someone clarify that for me?

Currently stake approvers are granted by calling. There is no way for a current administrator to add an additional approver. The calling info comes from CDOL. For mine, it appears to be any member of the stake presidency with a standard calling (including asst clerks and exec sec). The stake building specialist is also appearing as an approver, which is nice. The 2nd counselor is not...

You must be a stake administrator or building scheduler to manage locations and resources. Ah, there it is. You can be added as a building scheduler for a specific location by a stake administrator. You are added by name and not by calling which is a shame since that's a good workaround for YSA stakes to get the out-of-unit leaders access.

They may get to that point, but currently you have to add each building and then each room yourself. And you do want to add each room because without that capability, any overlapping events will be considered a conflict and you will not be allowed to enter the item on the calendar. Each event taking place at the same time at the same location must be assigned a unique room.

Thanks. That's good to know. I'll be sure to hold hostage the next stake presidency member that comes to visit. He will never see his family until my building is made a resource! :D

There are some default resources that you can select for your building. If those don't work, you have the option of creating custom resources as well.

The default options are (in order):
  • Baptismal Font
  • Chapel
  • Cultural Hall
  • Kitchen
  • Chapel Overflow
  • Primary room
  • Relief Society room
  • Stage
  • Young Women's room
  • Nursery room
I guess the chapel doubles as HP room, the gym as EQ and the stage as AP?

That must be local custom since we do not designate any portion of the meeting house any different than the standard FM names. Each of the three wards using our meeting house use different rooms for the high priests, elders quorum, and Aaronic priesthood because of meeting time overlap. Changing the names of the rooms would cause confusion.

Definitely that would vary unit to unit. Our elders meet in the chapel. Our HPs meet in a small room with very soft chairs to help them nap. We have no stage in several unit buildings. So if we are setting up an activity (or reserving in perpetuity as an assignment), we assign the "parts" of the building, irrespective of who usually uses them.

If someone were to move into the ward and take over, they would certainly know where the chapel is, but if we labeled it "EQ" I highly doubt they would figure out that meant the chapel as well.
