Tracking Stake Callings

#1

Post by maybd »

I hope this isn't a repeat question from somewhere else, but I was wondering if the new.lds.org site will eventually allow the stake (and presumably the wards) track the steps that need to take place throughout the process of extending callings? (e.g. bishop approval, stake presidency approval, HC approval, calling, release notification, sustaining, setting apart...) Currently, we use a pair of excel spreadsheets to track this data, but it is awkward and requires a lot of manual tracking still.

I've noticed that the YW program have a wonderful system in place that sends emails out to parents and leaders as soon as the young woman posts something to their personal progress page. It seems like a similar process could be used with the callings, which would automatically update the lists of callings on MLS and lds.org.

What tracking methods do folks use now to track in the mean time?

For my stake, when a person is being considered for a calling, the name, calling, etc is put onto a form we have created. The form is the link between all the steps. It is signed by the various people as it moves through the process and, once the calling is made, I keep track of callings in the Stake MLS. I can enter date sustained, check a radio button for when they are set apart, and remove them when they are released.

This approach doesn't take advantage of all the technology, but it works well enough for us.

I don't really see the church providing the type of tracking you are looking for ever. A lot of that process they leave up to local leaders to do as they see best, I guess.

Thank you for your response. I am just not sure that would work out well for us and I was hoping for some shared inspiration.

Our stake has over 4600 members, soon to have 12 wards, and someone once said that 1/3 of our membership turns over every year. As you can imagine this is the perfect storm of stake callings in constant flux, not to mention all of the priesthood advancement and ward level callings to track too.

As it is, I spend an average of 2-3 hours every week trying to get stake presidency and HC approvals and following through on each step with each individual responsible for taking the next step in the process.

Anyway, I hope that gives you all some background so you can understand my situtation.

Thanks again!
