How long before MLS updates are shown in TES?

#1

Post by jeromer7 »

I made temple recommend updates in MLS Saturday morning, April 17 and did a Send/Receive. I have confirmed the changes are correct in MLS and reflected in the Activation Report. As of this morning the Temple Entry System is not reflecting the changes. How long is it supposed to take to percolate through the system from MLS? Or maybe updates aren't done over the weekend?

I have seen MLS updates regularly make it to TES within an hour, usually on a week night or a Sunday. I wonder if there was a maintenance window?

As of this morning, TES still does not show the updates I made Saturday morning. I talked to MLS Support this morning and the bottom line is they suggested I have the members get new recommends and activate them via TES.

Here are the details of what transpired so others can avoid what happened to me.

Br. A and his wife Sis. A are temple workers who use their recommends at least weekly. Br. A’s recommend has an issue date of Oct 2008. In March 2010, Sis. A got a new recommend. Unfortunately, I somehow activated it under Br. A’s name on April 1st (oh, wait, I see the problem now… it’s an April Fools joke  (I wish :()).

Last Friday evening, Br. A’s recommend flashed a red screen at the temple recommend desk. He called me and I checked TES that confirmed the number in TES didn’t match the recommend in his hand. It took a few minutes to sort out, but it slowly dawned on me what I had done, i.e., activated her new recommend under his name.

On Saturday morning, I went to the stake center and used MLS to try to correct the situation. There is an Edit link in TES, but you can only edit the issue date and the recommend status. That wouldn’t resolve my situation. MLS has a View/Edit Recommends option that does allow you to edit the recommend number, issue date and/or recommend status. I used this option to return Br. A’s recommend information to his Oct 2008 recommend info to match what was on the recommend in his possession. I then used Sis A’s information to properly activate her Mar 2010 recommend, essentially restoring his older recommend info and shifting the new recommend info from Br. A to Sis. A. (confused yet?)

Did a Send/Receive, checked the subsequent Activation Report and double checked the individual entries. Found all well in Zion. The situation appeared corrected.

Since Br. A was working in the temple on Saturday evening, I checked the TES status Saturday afternoon and found Br. A still had Sis. A’s recommend info and Sis. A’s status as Expired with info from her 2008 recommend. The TES status did not change by Sunday evening or Monday morning. I went back to the stake center Monday and again verified MLS showed the correct status—it did. TES was still not updated Monday evening when I made my original post above.

There was no change this morning, so I called MLS Support with results as indicated above. I said I’ll have the members get new recommends, but it seemed the recommend edit capability in MLS wasn’t working as it was supposed to. The support person said she’d report it to the programmers.

As you activate recommends in stake MLS, it is tempting to just note the last 4 digits of the record number that are displayed in the first step of the recommend activation process. After all, the membership record numbers on many of the recommends are faint, in bad handwriting, or otherwise hard to read.

But there's a good reason for the cross-check where you are required to enter the last 4 digits of the MRN on the activation screen. You should always enter those 4 digits from the recommend itself, not from anything you've just seen in MLS. Unless the bishopric member happened to make the exact same error (extremely unlikely), MLS will help you catch the mismatch at this point, and an error like this can't occur.
Questions that can benefit the larger community should be asked in a public forum, not a private message.

You are absolutely correct. I would not have made the boneheaded error had I been paying closer attention.

However, MLS appeared to give me the option to correct the mistake by allowing me to edit the recommend number and it showed updates were transmitted in the Activation Report. The updates just didn't "take" for whatever reason. This is the part I thought the group should be aware of.
