Allowing Specific Callings to Schedule Rooms

#1

Post by CMcConnehey »

My new calling is Stake Tech Specialist and I was asked to update the calendar to include a "Family History Center" as a schedule-able room in two of our buildings. I was able to add the room without issue, but was then asked to extend the ability to schedule that room to our Stake and Ward Family History Consultants. This is the part I'm getting stuck on.

I can't seem to find a way to indicate which callings should be able to schedule a room. There does not appear to be anything visible for that at the time the room was created. My thought was perhaps a new calendar would have to be created, so I make a new calendar for Stake Family History. I did see the ability to give access to certain callings to manage that particular calendar (but only stake callings, no ward callings), but I did not see anything related to resources. There was, however, text at that top of the screen that indicated it should be possible. It read, "On the other tabs of this page, you can manage user privileges, resource assignments, sync your calendars to external applications, and more." That said, there were no tabs visible on the screen.

I've tried to scour the training materials on the website but came up empty. I'm hoping someone can share some some insight on how to set up a new room and extend scheduling rights to certain callings. I'd also welcome any references back to online training about this specific topic.

Thank you in advance!

Anyone who can add an entry to a calendar can schedule any resource. There is no way to limit which resources a given calendar editor can schedule. So you can create a Stake Family History calendar and make those callings editors for the calendar. That will give them the ability to create calendar entries and schedule the rooms in connection with those entries but they will be able to schedule other rooms as well.

In addition, anyone who can schedule any ward or stake activity can schedule an event using the FHC.

I created three "locations" that were not meetinghouses: High Council Room, Stake FHC, and a meetinghouse pavilion. This does not allow or prevent groups of people from scheduling those locations, but it does prevent people from locking out those resources when they select the "entire location" I figured anyone who is trying to reserve the entire stake center is probably not interesting in using the high council room or the stake FHC for their event.
