Best Method to Handle Scouting Events?

I am the Stake Executive Secretary and have been asked by a ward on how best they can address a Scouting need. Here is the scenario.

1. They have a need to add scouting events to the Ward Calendars and schedule church building rooms at the same time.
2. The current member responsible for scouting does not have the ability to add calendar items to any of the Ward Calendars.

Questions:
1. How best to address this for now and in the future so that a member with the position in Scouting can add calendar events to Ward Calendar, while also requesting building rooms?
2. Who would be authorized to make the recommended changes at the Ward level?

Are these "scouting events" like council meetings? When I was SES, we had a stake calendar for BSA council meetings, and we made the stake scouting coordinator the editor.

The person needs to become a calendar editor for the appropriate calendar. This raises two questions relevant to your scenario:
  • What calendar do they need access to? Typically a ward will have several calendars. In this case, it could be a calendar for Scouts, Young Men, Youth, or whatever makes sense for the ward's particular strategy for calendars.
  • To future-proof this calendar editor assignment, the assignment needs to be made to a standard calling, not to the particular person who happens to hold the calling now. Is the calling a standard calling, and does it makes sense for that calling to have calendar permissions into the future?
Note that any calendar editor has the ability to request building rooms.

Any ward calendar administrator can assign a calendar editor. That would include the bishopric, clerks, ward executive secretary, or website administrator.
