Attendance Rolls

Attendance rolls are not showing all the members that belong to any given class, there are always missing people even when there records exist.
Your advise to generate attendance rolls that show all members in any given class will be greatly appreciated.

What classes are missing members? Are they the default Sunday School classes that MLS creates? Are they custom classes that your ward has created?

Can you be sure they are really a member of the class? If you view their individual membership information, I know there is a tab on the left side that will show you every class and organization that the person is a member of. Find someone not on your attendance roll and see if they have that class listed or not on that tab.

Also make sure the rules for who is a member of a class are correct. When a new member moves into your ward, MLS checks every rule to see if the person qualifies to be a member of each class. In your case, the rules might say something like a person must be 200 years or older to automatically join this class. This is a trick that some clerks here on the forums use to keep every single person from being automatically added to the class, since no one will fit the rule. The intention is that you have to manually add the small handful of people that are supposed to be in the class, so that not everyone joins the class who are not supposed to be in it.

The attendance rolls are printed out off the common reports list that MLS has. Examples of attendance rolls missing members are Relief Society and primary classes. I will try your approach and get back to you with results. Thank you.

Be aware, it's been reported (and I've seen 1st hand) that MLS can pseudo-randomly get people assigned to the wrong Primary class, including putting Mutual-age youth in there and even adults. Manually deleting them, or moving them to the appropriate class will usually correct the problem, but I haven't figured out what triggers it in the first place.

I'm not sure if it's been fixed, but I've heard of problems in projecting rolls into the future. It doesn't re-calculate the ages to determine who is in the class.

One thing you need to verify with the indivdial classes that have been created in MLS is that the parameters or rules are set correctly. These rules or parameters would include minimum and maximum age of the class, sex, and if a specific priesthood is required. If these rules are not set properly new records moved into the unit can be automatically assigned to those classes. The only way to fix classes whose parameters are not set properly is to remove all members currently assigned to that class to another class temporarily and then delete the class from MLS. After you delete the class recreate the same class and set those rules. After that you can move the members that belong in that class back in.

Well, that will work, but it's a lot more work than is necessary. The most efficient way to fix class rules parameters is:
  1. Rename the current class to some temporary name
  2. Create a new class with the proper name and correct rules
  3. Delete the old class (which now has the temporary name). As you delete the class, MLS will give you the option to move the members to a new class -- select the new class.

I agree with Alan Brown. I've played with this quite a bit and this does seem to be the quickest method.

Yes, that is a much quicker way of fixing the problem. The most important thing is that you realize what is causing the problem.

Just a quick note to distinguish between the two ways of putting a member into a class:

1) Using rules you can define that a specific age group, for example, belongs in a class

Here you define a class based on age, gender, priesthood office, marital status. Members will automatically move in and out of these classes as their age/status changes to fit the rules. (note: this wasn't always the case, MLS has had some bugs involved with how the rules were handled)

2) Or you can manually put a member into a class

Once a member has been manually put into a class (Add Members), that member will stay in that class indefinitely (in other words, age or other status changes will not change the class this member is in).

As such, you'll want to reserve this method of filling classes to just those classes that are temporary in nature (such as Teacher Development) and for which a set of rules don't accurately describe the class membership. When the class ends, you then remove them from the class (Reset Organizations for Member or Remove the Class itself).

If you manually move someone into a class that they should have landed in by way of rules, then you must take it upon yourself to manually remove them from that class when they no longer belong there. So if the rules are accurate, then the best thing to try is "Reset Organizations" on that member. That should put them where they belong and that should allow them to move out automatically when the rules no longer apply to them.
