Someone in prison/jail

Recently I was informed that I needed to move the records of an individual out of our ward because he was incarcerated. The bishopric wants the records moved to the prison ward. I cannot find the procedures for moving records to such a ward. Also I have no idea where the subject is incarcerated at so I don't know if I can properly move them. Does anyone know if I need to know the exact jail or prison to make the move? Also what would the process be to move the records if they are to be moved?

The ward or branch that serves a correctional facility is just like any other ward or branch. It will have a name and a unit number.

You will need to determine the correctional facility, and then which ward serves it. After that, the record transfer will be the same as if you moved it to any other ward or branch using MLS.

Handbook 1, 13.6.4 reminds leaders that the membership record should be kept in the ward that can best meet the person’s needs. Usually that is the unit that serves the correctional facility, but sometimes not. Priesthood leaders could certainly confer on the best place to maintain the membership record in these circumstances.

Yes. Otherwise the unit responsible cannot be identified.

As for procedure, I'd suggest using the address of the prison to identify the unit via maps.lds.org. Then give the bishop a call to make sure they are the right ward.

If the prison is within the stake boundaries, then I'd ask the stake leaders what unit is responsible.

We have 3 prisons in our ward boundaries. If you put the prison name and its street address in the move request, it will end up in the correct ward. From there, there should be ward and/or stake prison reps that can attempt to make contact with the member.

Does the records of a member who is in jail indefinitely stay in our ward?

The last paragraph of Handbook 1:13.6.4 provides guidance. The membership record is kept in the ward that can best meet the person's needs. So if that is your ward, yes, you would keep the record. And if your bishop feels another ward could better meet the needs of the member, he would have the record sent there. A call to the other bishop would be helpful, of course, to explain the circumstances.

There are some wards/branches that are prison branches or wards that provide support for prisons. The stake president may know which they are, or you can search in CDOL, if you use the advanced search (classification option) you should be able to find those near you.

We have the SID# for the member. Where should we add it so it gets to the new ward?
