Building Schedulers

I am our stake's executive secretary. We are having a situation in which one of our building schedulers is not able to access her building's ward calendars to edit or review. The 3 other building schedulers all have access to their own ward's calendars, not the other units calendars.

There are two inputs for building schedulers in MLS, on the ward level and on the stake level. The building scheduler position is a starred standard calling on the stake level, anyway, so it should be recognized by the online calendar.

Which do we use? It seem that if the stake makes the input in it's level, the schedulers should have access to the standard calendars of all units in their buildings.

As it is, the ward MLS input is being used.

Any suggestions about our scheduling problem?

Building schedulers do not gain editing access to their ward calendars unless they are given that access. It appears the three building schedulers have been given access to their ward calendars (they will not receive access to other unit calendars).

The one building scheduler without access to edit ward calendars should be given access to whatever calendars the ward desires the scheduler to edit.

The problem is you're trying to fit an "old way" into the new system.

I'd suggest reading Building Scheduler Role and Responsibilities

Building Schedulers are responsible for overseeing events related to their assigned location. Normally auxiliaries schedule their own events and reserve the building without contacting the Building Scheduler. But at times the Building Scheduler will create events on the building calendar that are not associated with events on ward and stake calendars.

If it was up to me, I'd rename the position to Building Scheduling Supervisor. They're no longer 'hands on' for day-to-day events.

In any case, they do not automatically gain access to ward calendars that meet in that building, and you can't really grant access to someone whose membership record isn't in that ward.

Yes, I have read the article (and others) you are referencing on the wiki since posting. And, you are right, it is time to do things differently.

In talking with schedulers this afternoon, I learned that some bishops are still wanting them to do all the scheduling in their ward - the individual ward quorum and auxiliary leaders and secretaries should be scheduling events on the calendar and this should be correlated in ward council.

We will be providing a few update messages to the ward leaders about this.

Just as a note, while it's certainly possible, and even designed for ward quorum and auxiliary leaders to do the scheduling; it could work with just one individual who is a member of the ward doing all the scheduling for their ward. So I'd say how the ward does their scheduling is up to the bishop, as long as all the people doing the scheduling for the ward are members of the ward.

That said, I'd hope that ward leaders would follow direction and correlate activities and not just schedule them on their own. But if a leader won't follow instruction, they why are they holding that position?

What's clearly broken is having one person do all the scheduling for multiple wards. That was the best way to do things back in the paper calendar era. But no longer necessary in the computer era.

We all receive callings to grow, learn, and serve. Not everyone is blessed with the same strengths, talents, or abilities. Following instruction and handbooks isn't necessarily a strength that every leader has. Sometimes we need to be patient, longsuffering, and use gentle persuasion.

I'm not saying they should be perfect, but they should be correctable/teachable.
