one member 2 recordnumbers

#1

Post by pgm44 »

While we were checking and updating our membership records we found out that due a misspelling a member has 2 records and also 2 record numbers.
Sample: "Peter Stonefield was also written as Peter Storefield"
It means that the member has 2 records.
I tried to find out how to correct and to remove the misspelled member but could not find it. How to correct this in MLS.

Thanks

First you should make sure that one of the records is not a temporary record. To do that select Membership > Records > Remove Temporary Records from the menu and examine the list. If either record shows up in that list then it is a temporary record. Use that same screen to remove it after you make sure it doesn't have any information that is missing from the real record.

Assuming that neither record is temporary then examine the two records and make sure the record with the correct spelling has all of the (correct) information contained on the other record. If anything is missing then enter it in the correct record. Then select Membership > Records > Cancel Record from the menu. Select the Duplicate Record radio button and enter the membership number of the correct record. Click the Close button and then tell it to save the cancellation when asked.
