getting information required for quarterly report

I'm a brand new clerk. I'm still in training with the previous clerk and watching some of the videos available online. The previous clerk would text all the organization leaders and they would text him back with their numbers.

What do you all find to be effective methods of getting the required numbers? I don't even know all the required numbers although I suppose it would be easy enough to look up a blank copy of the report.

Since I do not text I thought it might be effective to create a word document with a brief explanation of what numbers are required and a small table where they can insert them. Perhaps I can include the numbers from the previous quarter as well so they know if they are in the right ballpark. I would create a different form for each organization.

What methods do you find to be effective at getting organizations to provide the numbers in a timely manner and with a minimum of errors or confusion?

Here are a few tips to consider for collecting the report:

1) Present what you need simply. Each relevant organization should only have 2 to 4 items that they need to report, so you can ask for what you need in the body of the email or a written note.
2) Start early. If secretaries are already gathering data throughout the month, sending it to you should be easy. Remind them at the beginning of the last month of the quarter (March) that quarterly reports report on that month so they should be keeping good records.
3) Give them a deadline. The church deadline is the 15th, but invite them to finish it up early if they are able. They can submit it anytime after the 1st.
4) Give them multiple reminders. Especially if you see them on Sunday – that's the perfect time for them to meet with their presidency and pull everything together.
