Ward Indexing numbers etc

#1

Post by longc »

I am a fairly new Ward Clerk.

I have been asked to find a way to gather a report of the number of names that have been indexed or extracted etc by the members of my ward.

Is there a way to get this information??

Your stake indexing director has access to these statistics.

If my stake indexing director where so inclined, could he set the ward clerk up with access??

And if so, what would be the procedure for him to follow??

Thanks!! :-)

No. Access to those reports is controlled by the calling. The stake indexing director has no authority or even ability to give the calling of stake indexing director to anyone else. And there's no way to grant rights to specific individuals, except by their officially recorded calling.

But it seems to me that it is fairly simple for the stake indexing director to pass such reports on to appropriate people. He or she could generate reports for each ward quarterly, for example, and pass those on to the bishop or ward clerk.

Thanks for the info!! :-)

One more question.....

IF I were the stake indexing director, how and where would I access the reports??

Im not sure if the person in the calling knows how to so I will probably go teach them. ;-)

Thanks so much for the help!!

At the site where the stake indexing director goes to index and arbitrate, there is another tab called Administration. In the Administration section there is a reports tab that will allow the director to run all sorts of reports. This is also the place where the director manages the accounts of all those who index, and assigns some of them to become arbitrators after they become experienced indexers.

Would the calling:
"Assistant Extraction Director over indexing" has access to this report??

No. It is a custom calling. Only the Stake Indexing Director, a standard position, has access.

The Stake Indexing Director has access to the report. There can be more than one Stake Indexing Director in a stake, which provides for a backup when needed.

It would not be wise for the stake president to authorize more than one or two members to have this function, because an Indexing Director also has total administrative authority over everything to do with indexing in the stake, access to personal information about each of the indexers and arbitrators, and a whole lot of other capabilities related to Family Search Indexing.

There is no way to give access only to the report without giving access to everything administratively related to Indexing in the stake. So the best method for someone to receive the requested information is to have the Stake Indexing Director provide the desired report(s) on a regular basis as determined by the stake president and other priesthood leaders involved.

I'm mildly curious as to the background. Either someone is trying to drag you into the Family History side of things, or this has to do with a goal set by the local ward leadership. You may want to communicate back to whoever requested the information that you do not have direct access to it. Nor are you likely to get access to it since ward clerks typically have nothing to do with Family History.

I may be overstating it, but by in large, the local units are responsible for staffing the positions but the work is carried out under a different line of authority.
