Stake Calendar

Does anyone have a good system in place for their Stake Calendar? Our stake calendar is getting over run with ward activities/events. Should each ward have their own ward calendar viewable only by their members? As a Stake Clerk I don't want to see the ward's youth conference dates etc.
Please help me understand how this should work.

The first place to start is by reading the calendar helps.

If you review the calendar helps you will find that each ward should have their own calendar not at the stake level but at the ward level. The calendar is not only a calendar where units place the activities/events happening in their ward, but it also schedules the location (building and rooms) at the same time.

Stake calendars should be a place to schedule events that are happening at the stake level and are administrated by stake administrators and stake calendar editors. Stake administrator are usually out of the stake clerks office and stake editors are usually from the stake organizations by calling.

Ward calendars are for events that are happening at the ward level and are administrated by ward administrators and ward calendar editors. Ward administrators are usually out of the ward clerks office and ward calendar editors are usually from the ward organizations by calling.

It was probably done that way because of some shortcoming of the existing system. Generally, no one can see the calendar of a ward they do not belong to. It's worse if the event does not take place in the ward's building. So the stake would be unaware of a Youth Conference that takes place off-site.

The other problem is if your stake is holding on to the old method where all events for a multi-ward building are entered by a single "building scheduler". Since the building scheduler can't enter events for wards other then his own, he may be placing things at the stake level as a work-around. The solution is to have each ward enter their own events. As long as everyone is properly entering the location information, the system will not allow two events to be scheduled at the same time for the same room/building. The role of the building scheduler has changed, but some habits are hard to change.

Some people think ward events have to be done at the stake level so they can see all the events that happen in a building. That's not true, but it can be hard to convince people otherwise.

Clearly, the intent of the developers was for ward events to go on ward calendars.
