Keys to the Ward Clerk’s office
Who do you all allow access to the Ward clerk’s office with keys? Apparently we allow all our Branch Council members with key but hesitant since there are sensitive documents and paper work in the office. Do you lock up your file cabinets with tithing paperwork’s?

At one time, the priesthood quorum and relief society presidents needed access to the ward computer running MLS to do their work. With much of that having been moved on-line, I'm not sure as that's still true.

I know of no reason why any auxiliary president would need keys to clerks office unless materials for their organization are stored there or unless they don't have access to their own computer and need to use the ward computer for recording ministering assignments and interviews. Of course, the current set of keys may have been created when they did need access so until new keys are created the keys available may give them access.

The reason is that they need access to the computer to print out their teaching assignments and materials. They would rather use the Clerk's computer and printer to print rather than print at home. There are also times the Relief Society President needs to use the Clerk computer to enter their welfare information for the Bishop's store house. Mainly because most members either don't have access to a computer at home or don't want to use their own printer. Something that I used to advise any of the auxiliaries who wanted to use the Clerk computer for printing, was to save any of items that required printing out in pdf format whilst at home. Then bring the files to the Clerks computer for printing. It was surprising how much time could be saved using this method.

Depending on the copier you have, they may not even need to use the computer. I guess I'm old school. If someone doesn't want the expense/hassle of printing classroom materials at home, then have them print ONE and take it to the copier on Sunday.
Back on topic...
There are some at the stake /district level that will need access. The STS, for example, has a duty to ensure the proper security of sensitive information is maintained. Hard to do that without a key.

I think that's the problem, even printing just "ONE" at home is too much for some people that they end up just printing that one page at church. Some members view that anything they do that is an expense to them should be done through the church's expense...even if its $2, they will ask for reimbursement. I don't think this is wrong but inefficient as others need to use the computer too.Mikerowaved wrote:I guess I'm old school.
