Is this the correct procedure for setting up a password for a new person?

So, I am the ward clerk. I went into MLS. I clicked "edit" and then "system options". That puts me on the screen that shows every calling and person who is set up with access to MLS. Next I click on the calling, "bishop" and change the name of the person and assign a temporary password.

Is this the correct way to do this?

It sounds like logins were done by calling. This is against policy. Accounts should be set up as the person's name. When they are released, you'll delete or deactivate the account.

I had the same problem today. I was just called as the ward clerk and I noted that logins were done by calling. So, in MLS system options I clicked the Remove button for the past First Counselor in the bishopric, leaving him with a Restore button.
Then, I deleted the First Counselor as username and put in the first counselor's name like jsmith2, for example. I then had him put in his password. We saved and exited MLS. I then had jsmith2 try to log into MLS. The login failed. The message was "that username is used by someone else" or something similar to that.
I realized that I should have put jsmith2 in as a new user, attempted to do that, and was rejected by MLS.
What can I do to correct this error and install jsmith2 into MLS with the correct rights for his calling as the first counselor in bishopric?

That's an odd message for a login screen. I'd expect that to occur on the add new user screen.

Out of curiosity, did you give jsmith2 any rights at all in MLS? I'm thinking that there's an unusual error and the wrong error message has been presented.

He was given the rights of a first counselor in the bishopric. I am wondering if he is showing up still as the First Counselor log in even though I removed the login title as First Counselor and substituted jsmith2. This would show him as having that two callings, the First Counselor, as well as the attempt at being installed using the Add User function.
It sounds like a technical problem. Should I contact GSC for assistance?

I believe he must be recorded as bishopric 1st counselor in LCR as well and a transmit/receive must be done to link them together. You might make sure he is showing properly in both systems and before contacting GSC.

Lds.org was down yesterday due to Admin action. When I awoke this morning, I put two and two together, went to ward building, did a send and receive and all was well. Thanks for your response davesudweeks
