getting information required for quarterly report

I'm a brand new clerk. I'm still in training with the previous clerk and watching some of the videos available online. The previous clerk would text all the organization leaders and they would text him back with their numbers.
What do you all find to be effective methods of getting the required numbers? I don't even know all the required numbers although I suppose it would be easy enough to look up a blank copy of the report.
Since I do not text I thought it might be effective to create a word document with a brief explanation of what numbers are required and a small table where they can insert them. Perhaps I can include the numbers from the previous quarter as well so they know if they are in the right ballpark. I would create a different form for each organization.
