How to add missionaries to Ward Missionary category?

Discuss questions around local unit policies for budgeting, reconciling, etc. This forum should not contain specific financial or membership information.

How to add missionaries to Ward Missionary category?

I had some donations come in for Elders whose names are not yet listed under Ward Missionary, so yesterday I had to just dump the donations into the general Ward Missionary category. How do I go about adding the new names and transferring those donations to the names?

There is one missionary listed in there but I didn't add it, so I'm not quite sure how it got there.

You can't add categories for missionaries. From the MLS message sent regarding CUBS, we read under Missionary commitments the following:
A subcategory for each missionary will automatically appear in MLS for missionaries serving from the ward as indicated from the Missionary Department. Wards will not be able to modify or set up these manually. As new missionaries are called, the Missionary Department will notify the Finance department and new subcategories will appear in the MLS system for the wards.
Supposedly the new categories will appear not long after the call letter has been sent. Until the subcategories are automatically added, your only choice is to maintain some separate accounting (such as in a spreadsheet) of the donations. Once the categories are created, you can recategorize the affected donations with the new category.

Thanks for your help. Accounts for two elders have not yet appeared, who got their calls 1 and 2 months ago. Hopefully they show up soon.

Are the monthly withdrawals for each missionary deducted from each missionary's sub-category, or are the funds deducted from the general Ward Missionary category?

Monthly withdrawals are automatically categorized with each missionary's subcategory. That would seem to be the main motivation for CHQ controlling those categories so tightly -- that way the CUBS system can make sure that the transactions are properly connected with the right missionary.

The important date is the MTC report date. The first payment is deducted from the missionaries sub-account near the first of the month for the month in which the missionary reports to the MTC. This applies even if the missionary reports on the last day of the month. So the expectation is that the sub-account is created before the first payment is deducted.
