Online Audit Suggestions

Online Audit Suggestions

I had our ward's financial audit tonight and noticed a few things that could be improved with the new system, which is pretty nice.

(a) Build some logic into the questions so that if you are doing an audit for the end of a year, the questions that are not needed are automatically skipped. (Currently, it tells you "this question does not apply for your year end audit...")

(b) Allow users to enter the dates manually and not only with the calendar pop-up. When you use the pop-up calendar, then default to the year/period that you are auditing so you don't have to change the year an month every time, for every entry

(c) On the form where you have to enter payment verification information, it should automatically enter the Month and Year for the 12 items, and ask for you to enter the day...

(d) On the "Other reconciliation form", the tabs are currently set so that when you tab down the left column, entering the categories and amounts for "other", it will also tab over to the right column on certain lines. The tabs should be modified so that they stay on the left side until you reach the bottom of the page, and then move to the right hand column.

This may be a little premature, but it looks like the stake finance clerk is only able to see the number of audit exceptions, not the nature of the exceptions or any detail. I hope that once all the signatures are in, the detail will be released. If not, this is going to make follow up a bear, as I will have to call the auditors to find out what exceptions need follow up.

We thought about this issue also and came to the conclusion that either the Stake President or the Audit Committee Chairman (Stake President 1st C) need to print the report before sending it on down the line. That is the only way we could figure that the finance clerk could get a copy to work with. As a side note - we have three of our units that are not connected to the internet in the clerks office so we opted to go with the paper version for everyone this go-around. Hopefully something will be worked out to allow the finance (or stake clerk if one and the same) to get a copy of the reports so they know what exceptions need to be taken care of.

At our last Stake Conference, (during a Clerk/Executive Secretary session on Sat), the Stake Clerk said all the audits would be done on paper, and then the Auditors would have to go online and fill out everything online (I think only the Stake Center is online currently).

I feel sorry for them...

If you are located in Utah or Idaho, you are not yet eligible for the online system (at least not for the current round of audits -- I'm sure the online system will be expanded soon). If you are located elsewhere, you will have received specific instructions already.
Questions that can benefit the larger community should be asked in a public forum, not a private message.

I've been added as a stake auditor on the stake's MLS and when I sign in to lds.org/audit I get the following message: "User has no valid assignments for this application".
How to resolve the issue? On the other hand, the stake clerk is able to access the site. Thank you.

Three possibilities come to mind:
  1. You are located in Utah or Idaho (or you are in some other unit not participating in the online audit system), and so you don't have access to the online audit system for this round of audits.
  2. Your position as stake auditor was not entered properly in MLS as a standard calling. Your stake clerk or someone else with access to CDOL could login there to see if you have a standard calling.
  3. There is some delay from the entry in MLS of the calling and the actual permissions being granted in the online audit system. If it's been more than a couple of days since your calling was entered in MLS, this would be unlikely. But if your calling was very recently added, you may only have to wait a little while and then try again.

Your calling was sent up to CDOL last night after the nightly extract, so as aebrown suspected, that is why you can't get in today. If everything goes smoothly you should be able to access it tomorrow.

By the way we have discussed how to reduce this time, so hopefully we will be able to get it down to less than an hour most of the time.
