Switching an erroneous 2011 donation to 2010 (where it is supposed to be?)

I'm not sure what to do: a member gave the bishop a donation in 2010 (31 Dec 2010) but when the donation made it to the clerks' desk, it accidentally got put into the 2011 pile.

Can this donation be switched to 2010? (Since that was the intent and that is why the member went through the effort to get it to the bishop on the last day of the year.)

Right now the donation is showing up in the 2 Jan 2011 batch. Is it okay to delete it out of that batch and add it to the 31 Dec 2010 batch?

Thanks~!

Yes, that's the proper procedure, as documented in the wiki at Donations in the wrong year.

Thank you! And thank you for pointing out the wiki page! I'll do a better job of remembering that now that I know some good keywords to be able to search for it in the future.

Uh oh, it seems that MLS 3.3 isn't letting me add a donation to a batch:

I know it says to create a new batch, but I don't have the check in hand since it was already processed with the 2 Jan 2011 batch.

Furthermore, I already deleted the donation out of the 2 Jan 2011 batch.

Do I just create another 31 Dec 2011 batch and type it in, but don't send anything to the bank? (Since the check was already deposited?)

I can call LUS on Monday (I'll probably do that anyway)

Thanks!

Hmm. This is one of those interesting cases where MLS with the test data works differently from live MLS. With the test data, you are warned that you don't normally add a donation to a closed batch, but it still lets you do it. There must be something about the way CUBS works with MLS that changes this.

That seems like it might work, but your situation isn't exactly what the warning message describes, so I would proceed with caution.

Yes, that would be wise. But please report back what you find so that we can fix the wiki and leave some information to help others in the same situation.

Answer from LUS:

Create a new batch for the donation, back date the batch to 31 Dec 2010, process the batch as normal (print out the reports, file things properly), but since the check was already taken to the bank, you don't need to deposit anything at the bank.

I suppose that since two username/passwords are required to close/authorize a batch, I'll need to do this when someone from the bishopric is around.

I'll let you know if I see any other hiccups with this.

Thanks~!
