What is the official church policy when the tithing slips does not match the money collected? do we still make the deposit with the discrepancy?

If the amount written on the donations slip and the actual amount of the donation are different, you should talk to the donor right away to resolve the discrepancy. if you cannot talk to the donor right away, do the following:

1. After you and another priesthood holder verify the discrepancy, write it on the donation slip.
2. Sign the donation slip, showing that you witnessed the discrepancy, and have the other priesthood holder do the same.
3. Tell the bishop about the discrepancy.
4. If the donation includes more than one category, adjust the category with the largest amount.
5. Record and deposit the funds as usual.
6. Tell the member about the discrepancy as soon as possible.

Also, always, always, check each amount as you pull it out with the tithing slip. I have seen cases where the clerk and bishopric member doing tithing pull all of the money out of all of the envelopes, then make a stack of the tithing slips, and then realize that they don't add up, and they have know way of knowing whose donation didn't match their slip. Not recommended.

Well, it happened. A shortage of funds, but where was the shortage. The clerk and the bishopric member both are sure they counted the cash and matched it with each slip. Came up $100 different. Bishop looked at one donation slip that had $265 in tithing but they actually put $165 on the slip and then changed it . Bishop had them (clerk and Bis member) change the donation back to $165 to balance the deposit.

The donor was contacted and insists they put $265 in the envelope. So we will have to deposit $100 in their account? Issue a check to ourselves and deposit in their name? OR???

Inform the chairman of your stake audit committee (a counselor in the stake presidency) of the missing $100 and ask for his guidance. He will conduct an investigation of the incident and provide direction. If he does not know what to do, the Church Auditing Department will give him excellent guidance. Do not write a check, and do not do anything further with this deposit until you receive instructions from him.

In the future, if you are not able to resolve a discrepancy with the member while you are completing the deposit, follow the instructions three posts back by drepouille, which came from Verifying Donations, and then continue on with the deposit.

In this particular case, at best it appears the clerk and bishopric member were not quite as careful as they thought they were in opening the envelopes together. But that is something for the chairman of the audit committee to decide and resolve in his investigation. If the member insists that the $100 was paid, you will be given instructions on how to make that credit.

This is the reason there are two of you who open the envelopes together each week, count each contribution, and compare it to the slip that was provided by the member. Together, no exceptions.

And PLEASE refrain from posting actual amounts in the forum. Describe your situation using ONLY hypothetical numbers.
