Callings Reports

#1

Post by Eric-p40 »

Our Bishop would like to have a custom report to manage callings. We want to expound on MLS and have the ability to list a few variables:

Members that need a calling
People with callings that need a change.
Callings that need people.
Callings that need change.

There is a 'members without callings' list already in MLS. Have seen it in passing during my time as a HP group secretary and heard it referred to a few times in PEC meetings, etc.

The second one, if implemented, would probably be only truly usable when it is known that a calling is going to come up open in the near future, like if it is known that because of a situation such as moving, mission calls (especially senior missionaries), etc., then they could have a list of callings that they need to fill in the not too distant future so there would be continuity.

For callings that need people, it may already be possible to get that via a report if not a user-generated custom report.

Calings that need change, probably similar to the very first on your list and would be the reverse of that, since it would be like say someone that was the sunday school president was made the elders quorum president and there was little time to change the sunday school presidency before that happened.

From personal experience, I was very lucky a couple weeks back, they moved me from HP 2nd assistant to family history consultant. I was first sustained as the FH consultant, then released from the leadership calling in priesthood meeting two hours later. But it doesn't always go that smoothly, hence the needs as you are stating.

The first report is a standard report: In MLS, go to Organizations, Reports, and select "Members without Callings." You can also generate a custom report by using a criterion of "Calling Position -- has no value", which you might choose if you want more fields included than are part of the standard report.

The second report would require a subjective judgment as to what "need a change" means. The custom reports in MLS don't give you the ability to add a criterion that involves the "Date Sustained", so this would be impossible to do with a custom report anyway. However, you can do the standard report "Members with Callings" (same location as "Members without Callings"). That report does have a column for "Date Sustained". You can then copy the report results to a spreadsheet and do some date calculations and filtering to get what you want.

For the third and fourth reports, it's a bit trickier. There are no custom reports for callings -- only reports for people that may report on callings. So a calling with no person connected would never show up on any custom report. You can go to the "Callings by Organization" report, but it is divided into lots of sections (2 per organization), so it's tough to get that information out for any analysis and manipulation, except by printing it.

However, there is an export of Organization information available under File > Export, which generates a CSV file with all the ward's organizational information, including organizations, people, dates sustained, etc. Administrative permission is required to generate an export. You can then bring that CSV file into a spreadsheet and do analysis. Callings without people will be included in the CSV file. So this would be a good starting point for the kind of analysis it sounds like you want.

This second question should probably be its own thread, since no one is going to look for info on callings and reports under a thread about 8 year old baptism letters. Unfortunately, I don't have the time to do the split right now myself...

Or probably just sort by the "Date Sustained" column when you print it out. I imagine the rows you would be interested in would all float to within the top 30 results.

Custom Member Field -- Exit Date

#5

Post by jfackerson »

For our Bishopric to anticipate calling vacancies, we've added Custom Member Field, Exit Date. This data we extract from our Data Collection Form for New Ward Members.

...Anticipated Duration of Residence Within Ward?
Years __________ Months __________ [check box] Undefined

Many new ward members serve within US State Department and are temporarily posted here for about 9 months of training. Afterwards, they are re-posted to some foreign embassy. We create a Custom Report and include field, Exit Date, as header of an output column. Column, Exit Date, is then sorted in ascending order.
