Asst. clerk receiving messages sent to Bishoprics

I'm not sure this is the correct forum to post this, please feel free to point out if there one that is better suited to this issue.

I am the Assistant clerk for finances in our ward. Periodically I receive emails sent through the lds.org messaging system that are clearly intended for the Bishopric. I've asked some of the senders of these emails how they are selecting recipients, and they are just selecting an option to send a message to the bishopric. One of the senders pointed out that in the leadership directory on the LUWS the assistant clerks are listed under "Bishopric," and suggested that might be the cause of the problem.

So far this is just a minor annoyance caused by getting emails that really have nothing to do with me. I'm a little concerned, though, that someone could send information this way that I should not see, thinking that only the Bishopric will get it. Is there a way to remove assistant clerks from this distribution list?

In the classic LUWS directory each leadership group has a group e-mail link. All those callings listed on the bishopric page, to include clerks, are part of that group. The problem is that the senders of the message are clicking the "E-mail Bishopric" link thinking they are sending to only the bishop and his counselors when they are actually sending to all calling positions listed on that directory page. Clicking the envelope icon next to the bishop's name will send a message to only the bishop. There is no simple method in the classic directory to send a message to only the bishopric outside of copying each bishopric member's e-mail addresses into an e-mail client for each bishopric member.

Some instruction to those members sending private or confidential information using the group e-mail link may be necessary to help them understand to whom the message will be sent.

While it is a good idea to have only the bishopric as an e-mail group on the classic LUWS directory the new directory is replacing it and therefore any effort to program a change in a system that will be gone by the end of the year is wasted effort that could be better spent on getting the new directory and e-mail completed. I recommend providing the instruction I just mentioned above to those members who may be confusing the group e-mail feature that is confusingly labeled to either send the same message individually to each bishopric member or to copy and paste the e-mail address into an e-mail client for proper addressing. It is only a workaround until the replacement system is fully deployed.
