introducing ward leaders to calendar letter

Just a thought...I'll share our "introducing ward leaders to the On-Line calendar" letter. Modify or use it as you like.

We've actually had the ward website calendar working for two years now, but it isn't really used by the ward organization leaders for actual calendaring, yet. Finally, after several huge conflicts with events, the bishopric is making a push to have our ward calendar be on-line at the ward website.

This letter, attached, is two-fold in purpose. 1) convince people of the benefits of a dynamic, online website calendar, 2) show them how to log on, and use it. While we used it as a tool for ward leadership, and that is our first step, it could be modify for general ward use. We will make this step next.

Any ideas you have and would share would be very helpful!

Thanks for sharing this; I'm sure it will help others in a similar situation.

One little tip: When you are teaching people how to submit an event, you tell them to ' [font="]Choose Submit an event from the choices on the top left of the screen[/font]'. Although that certainly works, it's much easier to click on the date number in the upper left corner of each day on the calendar. That will fill in the starting and ending date for you, saving you 6 dropdown selections.

The behavior of clicking the date number is dependent on whether there are any ward events already scheduled for that date or not. If there is no ward event (there may be a stake event or Churchwide event) then clicking the date number causes the "Submit [ward name] Calendar Event" pop-up to be displayed with the Start Date and End Date to be filled in. If there is one or more ward events for that date then the pop-up displays the information for all the events on that date. You then have to click the "Submit Event For This Day" link. The Start Date and End Date will then be filled in for the Submit [ward name] Calendar Event. The same behavior applies for the stake calendar except the absence or presence of a stake event determines what is displayed in the pop-up when the date number is clicked.

It is the feature of displaying all event information for the date when the date number is clicked that I teach people to use when checking to deconflict event times for a particular date.

Thanks for the clarification. It does get a bit more complicated to explain than simply "click on the date number", but the worst case is that you have one additional click on "Submit Event for this Day" -- it's still a lot easier than filling in all those awkward dropdowns.
