Funerals in Ward Buildings

Postby craigshull » Thu Aug 25, 2011 11:54 am

We have an aging stake with many funerals occuring. How can a bishop in one ward check and reserve the resources in another building (over the internet) with the new system ?

Thank you,

If the other building is in his stake, he simply schedules the building, just like he would schedule his own.

If the other building is in a different stake, there's no online way to do it. He would have to call someone (a bishop, executive secretary, etc.) in that building to ask for their help in scheduling the building.

That's is how I would hope it would work, but everytime we try to look at the subscribed location at the bottom right side of the screen we get an error that says "access denied, user is not authorized". This is happening to all of the designated people as defined in the MLS calling list. I think that it is a gobal issue somewhere in the setup but I can not get to the right person that knows enough to tell me where the problem is. This is happening even in the same building where one ward can not look at the sister wards resources.

Can you help point us in the right direction to solve our issue? We have already check to make sure the right people have the right callings in the MLS by sanctioned official callings.
There is nothing listed in help files or anywhere on the tech forum that addresses such an issue and therefore we are stumped and really crippled because we can't get help that helps!

Thank you for such a quick response and verifying how it is supposed to work.

Admin note: Thread moved as it was clear this was talking about the NEW calendar system, not the classic calendar.

Since resources are not scheduled directly, would he put it on his own (ward) calendar but set the location to be the other building?

Yes. We do that all the time in our stake. For example, a ward that doesn't meet in the stake center may need to schedule the baptismal font and some other rooms for a baptism. They can put that on their ward calendar but reserve rooms in the stake center.

Yes, I understand that is the way it is supposed to work, but you can not do any of that if you can not see the other locations on the subscribed location area of the calendar. Is it not true that one should be able to the events scheduled for each building on the subscribed location list?

I assume you meant "one should be able to see the events...." If so, the answer is yes. Every calendar editor in the stake should be able to see all locations in the stake, and by checking the box in the Subscribed Locations panel by a location, see the events scheduled for that location. The only reason you wouldn't be able to see a location in the Subscribed Locations panel (and thus not be able to see its events) is if that location is not configured to be scheduled (meaning the check box under Manage Locations and Resources for "This location is approved for use by all Stake and Ward calendars" is not checked -- that is something only a building scheduler or stake approver can do).

Or to put it another way, the location may have never been set up by the default stake approvers. But even if the setup was started, until those check boxes are marked, the location will not be available.

I have checked the 3 boxes on the "Manage Location and Resources" for each ward in the stake. I am the Stake Web Site Administrator which I think is a default approver. But everytime we go to any of the "Subscribed Location" and click on other ward buildings, every one is getting a "USER NOT AUTHORIZED" error.

Can there be another option that is stopping us that we can check?

Thanks for helping us try to figure this out.
