How to create an event during a "restricted" day and time?

I am a building scheduler and have set restrictions for our 3 wards that use the building. For example, 1st ward has the building for the first full week. Only those ward members can create events at will during that week. However, here is my dilemma: How can a member from a different ward (who has permission) create an event during the 1st ward week? How can that person slip and create an event? Thanks! :)

Only a building scheduler can override events. So short of making this person a building scheduler, the only other way is to edit the restriction so they can create the event.

Thank you. So is it possible to create a restriction "window" within a restriction, to enable an outside ward member to create an event?

For example:
1st ward has the entire building for Sept. 15-21, and the week has been restricted to only 1st ward members. However, a 2nd ward member would like to use the building Sept 20th (during 1st ward time). Can I create the 2nd ward member a "window" for that person to go in and create their event?

There are two approaches I've used in this situation:
  • Have the 2nd ward member create the event for the wrong date -- pick a date that is open to them for scheduling (perhaps a date far in the future). They can then create the event exactly how they want it. Then you (as the building scheduler) go in after they have created the event and edit the event to have the correct date. With this approach you are essentially using your special powers as building scheduler to schedule an event on top of a restriction that overrides the rule.
  • Edit the restriction so that the 2nd Ward has the restriction for Sept 20. How you do this depends on how the first restriction for Sept 15-21 was set up. If it was set up as a repeating daily event, then you can simply edit the Sept 20 restriction and change the ward, and when you save it, specify that your change is for "This event only." If it was originally set up as single 7-day event, then you could change it to Sept 15-19, add another restriction for the 1st Ward for Sept 21, and then create the Sept 20 restriction for the 2nd Ward. With this approach, of course any editor from the 2nd Ward could then schedule an event on that date.

I went with option 2, and I had to remove the original restriction which was for the entire day. Then had the 2nd ward member sneak in and create the the 2 hour event . Then I went back in and created the original restriction again for the 1st ward. A lot of run around to accomplish a simple thing.

Thank you for you help!

If you did not have such a restriction in place it would have been much simpler with no run around. It makes no sense to restrict the whole building for a whole week to a single ward. It would be much better if you only restricted specific times for specific ward meetings that are recurring and always on the same day. Meeting times such as the monthly RS meeting and the weekly youth meetings should be restricted so other wards cannot encroach on those times. Thus leaving the other times open so anyone can book an event on a first come first serve basis.

I must say this is the first time I've heard of a "ward week". Typically it's more of a "ward night". So "Ward A" has Tuesdays, "Ward B" has Wednesdays and "Ward C" has Thursdays. That gives people some flexibility on timing of events.
