Scouting Events - Stake Calendar or its Own?

Our Stake contains many of the Scouting district leadership including those responsible for scheduling scouting events. The particular brother that does most of these events, places them on the YM calendar for his ward so that he can reserve the building. Obviously this is less than ideal since only his unit can see the events.

What are your stakes doing? Do general scouting events go on the main stake calendar? Do you have a separate stake calendar just for Scouting?

I appreciate any suggestions and rationale.

There are a couple of things to determine when something should be it's own calendar. The first is consideration for all the folks who sync the church calendar to their own personal calendars. If everything is piled onto one calendar, there's no way to select what events are synced and what isn't. How much of the stake is going to want to see scouting events?

The second consideration is being able to control who can edit the events. If it's a separate calendar, you can give control to someone that you might not want to have control over the other events.

Another consideration is to try and keep the number of calendars to a reasonable number. Otherwise you might end up with a large number of calendars.

In the situation cited, I think it's best for a stake-level calendar for scouting. That way those who are involved with scouts can subscribe and those who are not involved can hide it from their calendars. And you can give edit control to the scouting leader(s).

Our stake has a calendar for stake youth events where we place scouting events. On occasion our stake hosts a district scouting event, in which case such an event will book the building. But the vast majority of these events are simply at an "Other Location." We would certainly always put these events on a stake calendar, because it's important and helpful to make the events visible to members of the stake in addition to simply scheduling the building.

We've decided to limit the number of stake calendars to about 10, so we chose not to split out our stake youth events any further than just one Stake Youth Events calendar. Sure, that means that some subscribers to that calendar might be interested in only YW events and yet they see scouting events, but that's a balance you have to strike in many cases, not just with scouting events.

Our stake uses a separate district calendar and a separate council calendar where we post all the events not just the ones that use our buildings. That way leaders are aware of meetings and events at both the district and council level.

We don't look at them as scouting events specifically in our stake, it is more about who the events are for. We have a stake calendar for stake and ward leaders where round tables and district leadership meetings go. We have a stake calendar for general stake membership where district camps and events that involve the young men from all wards in the stake go. For troop/unit level events, they get placed on individual wards' calendars for young men.
