Building Schedulers

One of our Building Schedulers has no rights to schedule events. He had rights once but not any more. How can I get him his rights back? Thanks Mike

A building scheduler has no rights to schedule events by virtue of that particular assignment. A person who is a building scheduler may also be given calendar editor or administrator rights, which would then allow him to schedule events. If he once had those rights, and no longer does, then that means that someone removed him as an administrator or editor (or deleted the calendar that he was once an editor for).

To give him scheduling rights, you need to determine if he should have editor or administrator rights.
  • If the appropriate leaders want him to have administrator rights, then a default administrator would need to add him as an administrator (Settings > Administrators > Add New Administrator). This could be done at the stake or ward level (ward level might be appropriate for a building that houses only one ward; stake level is probably better for a multi-unit building).
  • If the leaders want him to simply be a calendar editor, then an administrator needs to determine which calendars he should be an editor for and add him as an editor (Settings > Calendars, click on the appropriate Calendar name, Add new person). Again, this could be at the ward or stake level.
Note that a building scheduler doesn't need to be able to create events to perform the essential functions of a building scheduler, but some stakes choose to give that additional capability to schedulers.

Either something changed or I didn't notice this before: According to the help file, the "Stake building specialist" is also a default admin for stake calendars. Depending on how the calling of "building scheduler" is recorded that may change the advice quoted above.

The building specialist is a default admin. In this case though even a default admin does not have automatic rights as a building scheduler and must be manually added as such in the calendar app. Additionally an individual added as a building scheduler does not gain admin rights by virtue of the building scheduler assignment but must still be either added as an editor to a calendar or be a default admin (like a building specialist). Even still default admins are restricted to administering calendars within their scope (stake admins can administer stake cals, ward admins ward cals).

I have a building scheduler that is unable to set any reservations. In addition, she is unable to edit any calendar events at the building she is responsible for. I myself have had problems setting reservations as well. When I use the "Add Reservation" button, my reservation does not show up. If I click and drag in the week view, then edit the reservation, then it works just fine. Even this doesn't work for her. I'm wondering if anyone else has had problems setting reservations.

Also, we noticed the other night that a number of reservations had been set by someone other than the two of us, but we are the only people listed as building schedulers.

Can she get the to Reservations calendar? To check go to Options (gear menu), then click Reservations. If that menu item doesn't show up she needs to be added as a building scheduler by a stake admin in the calendar app.

The building scheduler, if not added as an editor to at least one calendar, is only able to edit events using the building to which they have been assigned within the calendar app. If she's not actually a building scheduler in the app then this would make sense. Also if she is not an editor of a particular calendar (go to Options, Calendars to see which calendars she has been added to as an editor or viewer) then she will not be able to manipulate events not using her assigned building or create new events for that building.

Does it now show up in the Reservation calendar and in the Week view of the main calendar? You are saying it doesn't show up but then you can click to edit the reservation so it seems like it's showing up somewhere.

So this sounds like an event. Events that use buildings can be edited by any editor of the calendar on which the event is saved.


I checked out the reservations functionality in production and in our test environment and could not reproduce any issues like what you've described. I'm wondering maybe if this is more of an issue of mixing the idea of reservations with the idea of events that use a location. They are different.

A possible point of confusion in this area is that the Reservations calendar shows both reservations and events for the location (reservations are in gray text, events in black). If what you are seeing is in black text, then those are events, which any calendar editor or administrator can create -- they are not reservations.
