One Calendar Per Ward? One Stake Calendar?

To control private party events (birthday, wedding, etc.), has anyone tried having only one calendar per ward and one Stake calendar? We occasionally have private events scheduled for members from other Stakes to use our buildings, some questionable private gatherings, and members who reserve several weekends in June for the same party. Any suggestions, on how to control who reserves the building?

This has been discussed many times on this forum. See, for example, the thread Solutions or ideas on scheduling weddings, family parties or non church activities, which contains links to other threads on the topic.

The building can only be scheduled by calendar administrators or calendar editors. The default calendar administrators have that role because of their callings, and you can't take permission away from them. Calendar editors are added to calendars by administrators as needed. So the set of people who can schedule events is only as large as the administrators determine, under the direction of the stake president or bishop.

In my opinion, you can control only so much with technology. There's no substitute for a clear policy that directs your technical solutions. For example, if the Primary president is a calendar editor for the Primary calendar, it's technically possible for her to add a wedding reception for her son to the Primary calendar in order to reserve the building. But I would think that the policy would be that private events may not be added to organization calendars; you may want to require that private events are added only by calendar administrators, or even by just one particular administrator or editor.

How you treat such issues depends on how compliant calendar editors are in following the rules. If you find that calendar editors are adding unauthorized private events, you may want to announce that private events added to improper calendars are subject to immediate deletion, or you may take a gentler approach. In our stake, we have one person at the stake level (me) and one in each ward who is responsible for scheduling private events. That's working pretty well for us.

This thread is indeed in a section dedicated to the Calendar. We try to put all Calendar-related threads in this section. Are you asking for something beyond that?

No. Just found the Calendar section. Sorry, but I spend days looking at forum questions, and I did not notice your Calendar section until now. I just need to get use to this forum.

In our ward there is a calendar called "outside use of the building" which is used for private events... Works well for us. IIRC, the bishopric and the buildign scheduler have access to it.
